Project Control Coordinator - SPBM

Business Unit Description:
Strategic Planning and Business Management is responsible for the integrated Technology and Operations strategy; providing thought-leadership regarding business effectiveness, operational efficiency, controls and risk, and working with the Strategic Project Office to align Technology and Operations' priorities with those of its business partners. In addition, the group provides consolidated business reporting, planning and analysis, and develops and manages initiatives that are common to Technology, Global Operations and INTRIA, and Corporate Services.

Job Overview:
PURPOSE OF JOB:
Ensure that project control procedures and policies within a number of unrelated small to medium projects are executed, appropriate and functioning according to technologys project performance standards.

MAJOR ACTIVITIES:
. Consolidate and integrate work breakdown structures data into a comprehensive schedule. Develop, manage and control schedules by updating and making mitigation decisions and escalating as appropriate to the project manager.
. Develop, consolidate and reconcile management and resource allocation reports. Update project repository ensuring version control.
. Track progress and make recommendations on response plans for risks, resolution plans for issues and results on action items and make decisions on required escalation.
. Track and reconcile financials ensuring resolution of anomalies, update and reconcile latest estimates ensuring actuals to plan, make recommendations escalating as appropriate.
. Knowledge/skill requirements:
. Work experience:
. Listening--ability to gather, clarify and apply information transmitted verbally, while exhibiting a genuine interest toward the speaker.
. It project office/administration--knowledge of and experience with maintaining a central repository of project competencies, plans, reports and history to provide a knowledge center for project managers.
. It project control and reporting--knowledge of and experience with monitoring the vital signs of an it project, and managing its progress and delivery schedule.
. Accuracy/attention to detail--ability to process information with high levels of accuracy.
. Problem solving--knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems.
. Oral communications--ability to express oneself and communicate with others verbally; recognizing that verbal communication is more than just language - it includes tone, style and structure.
. Interpersonal relationships--knowledge of approaches, tools and techniques for working with individuals and groups in a constructive and collaborative manner.
. Basic understanding:
. Written communications--ability to produce a variety of business documents that demonstrate command of language, clarity of thought and orderliness of presentation.
. It project management--knowledge of and experience with tools and techniques for planning, organizing, monitoring and controlling it projects.

JOB COMPLEXITIES/CHALLENGES:
. Analyzing actual and forecast financials to reconcile data, investigating information from multiple sources to correct and account for deviations. Escalate as appropriate.
. Analyzing the impact dependencies and updates to project schedules and taking mitigating actions to manage to the baseline target dates, taking into consideration resource allocations and constraints. Escalate as appropriate.
. Consolidating work breakdown structure information to integrate, develop and optimize the overall project schedule, ensuring project constraints are addressed. Escalate issues as appropriate.
. Conducting what-if analysis to optimize allocation of resources, ensuring project schedule, resource load and scope constraints are considered. Escalate resulting issues as appropriate.
. Monitoring and ensuring correct materials and invitees are at steering and project meetings to avoid ineffective project communication.
. Receiving/tracking invoices to ensure costs are what is expected and forecasts for project(s) are accurate.
. Monitoring resource capacity for project to ensure continued feasibility of project as planned from a resource capacity perspective.
. Ensuring appropriate processes and approvals are followed to track all invoices against 'contracts' to ensure project budget is retained/accurately forecast.
. Tracking and processing timesheets and invoices in a timely manner following standard processes to avoid payment delays/penalties.
. Supporting the tracking of projects (initially capitalized and moved to direct operating expense when asset is realized) generally under $1 million.
. May provide work supervision. No direct/indirect reports.
