Reporting to the Senior Director Real Estate, Development and Facilities the Real Estate, Development & Facilities Coordinator (REDFC) is active in the administration and coordination of various aspects of the acquisition, development, construction and maintenance of Lowe's real estate portfolio nationally. The REDFC will be responsible for the administration of all documents related to the leasing, acquisition, development and management of Lowe's Canadian facilities for new and existing locations. This individual should have experience with respect to duties described below:
Duties & Responsibilities:
. Provide administration support for RE department Directors and Managers, including assistance with property management and lease administration, keeping and organizing of records pertaining to new deal documents and development applications, and overall file management. . Maintenance and updating of legal document library for existing properties. . Coordinating, preparing agendas and preparing minutes for internal RE and Steering Committee meetings. . Develop relationships with landlord representatives and follow up after real estate meetings by sending correspondence and tracking status . Organize and maintain deal documents, including document templates and file history. . Assisting in the preparation of materials for Real Estate Committee meetings . Assist the RE, Development and Facilities team with the property management, lease administration and development of construction related matters as directed by the management team. . Sorting and review of incoming correspondence and invoicing for the RE, Development and Facilities team. . Reviewing and processing of payment requests and invoices pertaining to existing property, active leases, active development and permit files, construction projects and facilities management items. . Tracking of budgets and spend; flagging of any invoicing concerns for various managers . Processing of invoicing and coordination with accounting for invoice payments. . Assist facilities with basic dispatches tickets/ work assignments . Track and complete orders in the facilities system . Assist construction manager with external requests and pre-qualifications from active and potential contractors architects & vendors. . Assist Construction Managers with tracking and documentation of construction pay apps, change order requests, warranties, and design and construction documentation. . Assist with preparation of tender/bid documents . Manage the administrative functions of On-line Departmental database for transfer of RE, Design and Construction documents amongst consulting and contractor teams. . Setup and coordination of LCs and wire transfers of funds related to RE and development activity. Includes tracking of posted LCs and funds through to release. . Assisting department personnel with travel coordination.
. Bachelor's Degree preferred . At least 3 years' experience in the areas of real estate management, property management, financial reporting and analysis . Detail orientated . Proficiency in MS Office required . Knowledgeable in Adobe Pro . Must have the ability to communicate clearly and effectively, verbally and in writing, to all levels of Lowe's management, vendors and outside organizations. . Self-motivated with good organizational skills to prioritize tasks and meet deadlines. Able to adapt to peak periods. . Good time management skills to ensure all activities and tasks are completed effectively and efficiently. . Ability to manage multiple projects and achieve deadlines. . Demonstrated abilities in property and facilities management software programs/systems to track and manage assets. . Ability to converse and coordinate with Finance and Accounting functions (both in-country and international). . Ability to understand and accurately track construction costs and change order requests.Interest in building knowledge in areas of real estate and development management, asset management and construction fields. Previous experience and knowledge of building systems, building codes, design methodologies, and property issues will be an asset.
