Our private sector client is looking to hire an administrative coordinator to join their team. This is a position that will require very strong communication skills in all three languages, French, Portuguese and English. This is an amazing opportunity to join a fabulous organization

Role and Responsibilities

  • Reporting to the Director, International Partnerships the Administrative Coordinator is responsible for providing effective and efficient administrative support to the director and project-related support to staff. The Administrative Coordinator supports the development, planning and implementation of Brazil Science without Borders activities, including work plans, budgets, research, reports/briefs writing, preparing presentations and coordinating day-to-day work. Arranging travel insurance and other related documents for the director and staff, consultants and colleges is a critical aspect of this position.
  • ïf~ work effectively within a multi-team environment; ïf~ accomplish various functions of a complex nature, requiring initiative and self- direction;ïf~ self-prioritize and organize work effectively and efficiently and ensure quality of work, often with deadlines and shifting priorities;ïf~ interact effectively with Association staff, senior administrative staff from member institutions, partners and external agencies;ïf~ treat everyone fairly and equitably and maintain high ethical standards;ïf~ demonstrated ability to work independently and under pressure with attention to detailmembers and/or overseas partners
  • ïf~ provide support to the director and Brazil team with organizing meetings, workshops and conferences including, but not limited to, travel arrangements, itineraries, agendas, minutes, and reports; ïf~ provide administrative support in the preparation of reports, research studies, correspondence, contracts and other documentation;ïf~ assist in formatting annual work plans, budgets, reports, core documents (Logic Model, Performance Measurement Framework and Risk Register) handbooks, manuals, workshop materials and other documents, if and as required;ïf~ assist in the preparation of the Brazil Financial and Narrative Reports for final approval by Finance and Director; ïf~ work with the Finance Department on solving challenges/problems/discrepancies regarding financial issues re Brazil projects;ïf~ create a database for Science without Borders and maintain files up-to date; ïf~ assist in the preparation and verification of expense reports; ïf~ prepare payments for colleges;ïf~ assist in the preparation of documents for financial processing, budgets, statements, claims and financial reports;ïf~ provide graphic and technical support in the preparation of documents;ïf~ assist in the draft preparation and formatting of college contracts;ïf~ assist in formatting and updating of Brazil operations manuals and work templates;ïf~ perform other related duties as may be assigned from time to time.
  • ïf~ graduate from a post-secondary institution or an equivalent combination of education and relevant experience;ïf~ proficiency in office and administrative tasks;ïf~ good communication, organizational and interpersonal abilities;ïf~ knowledge of financial and accounting processes;ïf~ fluency in both written and verbal English, French and Portuguese;ïf~ experience in database management and conducting internet research; ïf~ demonstrated ability using Microsoft Office Suite (intermediate Excel).
This position will start out on contract for 3 weeks with a chance to extend. The working hours are 8:30AM - 5:00PM. The salary is competitive and will depend on experience. Any international experience is considered a strong asset. Candidate must have strong knowledge in database management as well as have strong interpersonal skills.
