Adminsitrative Assistant Programs

Our client, a large health-care regulatory body seeks an administrative assistant to support their team for a 4 - 5 month period, with potential to turn permanent or long term for the right candidate.

Role and Responsibilities

Working with the Quality Assurance and Programs groups, the ideal incumbent will draw upon thier administrative experince to perform range of duties and projects such as (but not limited to): Meeting planning; scheduling of meetings, teleconferences, appointments that involve multiple parties, ordering catering, booking meeting room and preparing any necessary documents or equipment for meeting.


Prepare an compile meeting materials in advance such as agenda, any supporting documents, attend and take minutes at the meeting, edit and compile minutes post meeting and distribute finished copy to all involved parties.
Correspondence: act as a key contact for program approval inquires adn submissions. Using strong interpersonal skills to build relationships with educational institutions to keep them informed of policy changes and ensure thier compliance by explaining policy changes and providing guidance and further information when required.
Prepare mass mailings including creation of mail merge files. Update documents such as spreadsheets, reports and presentations as required.
Records Management: establish files in accordance to organization's policy and guidelines, track all program data, ensuring required information is entered accurately and on time.

Qualifications and Experience

2-3+ years of solid, professional administrative assistance experience, to a team or department of individuals
Preference will be given to those administrative professional with experince in governments, healthcare, education or the broader public sector


Proven experince in liaison between multiple parties
Minute taking skills required
Strong interpersonal skills- a customer service oriented attitude
Intermediate MS Office skills in Outlook, Word, PowerPoint, Excel


Located walking distance to Yonge/ Bloor subway station. $16.50/ hour pay rate.
