Job Description

Administrative Assistant

Opportunity Number:

Our client, located in the North York area, is seeking a temporary to permanent administrative assistant for a communications based industry client. The qualified candidate will be responsible for the following:

Role and Responsibilities

  • Sort and distribute incoming and outgoing courier, mail & fax material
  • Maintain office equipment, arrange service calls
  • Using mail merge processes, assist in the preparation of mail-outs
  • Maintain contact databases for tenants, staff and contractors
  • Type correspondence, reports and other documents
  • Filing and organizing company filing system and filing retention records
  • Respond to minor property maintenance issues and tenant calls/emails
  • Maintain and update tenant insurance and vendor insurance and WSIB certificate records
  • Assist with preparation of property tax assessment information and vacancy rebate submissions
  • Assist with the preparations and administration of vendor contracts and construction documentation
  • Prepare agendas for meetings and prepare schedules
Qualifications and Experience

  • At least 1-3 years prior experience in a similar role
  • Advanced MS Office Suite skills including Excel, Word, PowerPoint and Outlook. Access is an asset
  • A strong attention to detail and the ability to adapt in a progressive industry
  • The ability to organize and execute tasks within tight deadlines
