A guide to employee onboarding for SMBs

Employee onboarding is the process of integrating a new hire. Onboarding for small businesses can be daunting because resources are most likely stretched as it is. However, even though the initial time investment might seem large, the benefits of onboarding for the employer – from increasing retention to cost savings – are absolutely worth it.

With that being said, welcome to part 1 of a guide to help you and your new hire start off on the right foot.

Before their first day

  • Complete or move forward as many of the “admin” and “housekeeping” items as much as possible.
  • Add their name to all distribution lists, set up their email, passwords, signatures and make sure they have all required software installed on their computers.
  • Set up office station – including computers, printers, etc.
  • Prepare a welcome package. This includes information about the company, history, mission statement values, benefits overview, and an employee booklet and any other applications and documentation needed.
  • Keep your day, and their manager’s day clear to be available to the new hire.
  • Email their team, or have their manager email their team, to give them the heads up on the new (employee) arrival.
  • Send the new hire a welcome email and include their start time, directions to get to the office, the name of who will greet them, and any personal documents they should bring to fill out forms.

On the first day

  • Be ready and on time to greet the new employee at reception.
  • Walk them through their welcome package and have them fill out all of their required paper work.
  • Introduce them to their manager and team mates.
  • Have you or their manager (or a buddy) give them a tour of the office/facility/workplace.
  • Introduce a mentor/buddy that the new hire can go to in the future if they have any questions. The mentor or buddy must be a good performer with a great attitude.
  • Organize a team or manager lunch. A lunch with colleagues outside the workplace is a great opportunity to learn more about their colleagues in an environment where everyone is more likely to let their guard down.
  • Have the new hire and their manager sit down to discuss their role, the team’s role, and objectives in greater detail.

While that first day plays a critical part in a new employee’s success, the process of onboarding goes beyond day one. Next week, we’ll discuss how and why onboarding continues after the first day.
