Job Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth daily operations. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple administrative tasks efficiently. Experience in medical or dental office settings is a plus, but not mandatory. The Receptionist will play a vital role in maintaining an organized front desk environment and supporting overall office functions.
Responsibilities
- Greet visitors and clients in a courteous and professional manner
- Manage multi-line phone systems, directing calls appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks accurately into various software platforms such as QuickBooks and other office management systems
- Handle incoming and outgoing correspondence, including filing, photocopying, and scanning documents
- Assist with administrative duties such as proofreading, organizing files, and managing paperwork
- Support bookkeeping activities related to billing and invoicing when necessary
- Provide excellent customer support by addressing inquiries promptly and professionally
- Maintain a clean and organized front desk area to create a welcoming environment
- Coordinate with other staff members to ensure efficient office operations
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with experience in data entry, filing, and document management
- Familiarity with QuickBooks or similar bookkeeping software is advantageous
- Excellent organizational skills with attention to detail and accuracy
- Exceptional phone etiquette and customer service abilities, especially over multi-line phone systems
- Clerical experience in an office setting, preferably in medical or dental offices
- Ability to multitask effectively while maintaining professionalism under pressure
- Strong typing speed with proofreading skills for error-free documentation
- Administrative experience that demonstrates reliability and efficiency in handling office tasks
