Job Summary
We are seeking a proactive and detail-oriented Property Administrator to join our dynamic property management team. The Property Administrator will play a key role in ensuring the efficient operation and management of our properties. The ideal candidate will have strong organizational skills and a passion for customer service. This role involves a combination of administrative and operational responsibilities to ensure client satisfaction.
Key Responsibilities:
Administrative Responsibilities
- Rental Management: Prepare, review lease agreements, arrears statements, eviction notices, letters etc., tenant screening, rental advertisement, credit checks.
- Strata Management: Assist with preparation of minutes, agendas, budgets, notices. Email correspondence with owners, council and property managers. Ensuring accuracy of data with the online systems.
- Tenant/Owner Relations: Address tenant/owner inquiries and complaints; responding to emails, preparing letters.
- Financial Management: Assist with budgets, rent/strata collections.
- Record Keeping: Maintain organized property records and ensure legal compliance
Office Administrator
- Work with onsite resident managers, caretakers and Property Managers on a daily basis to ensure smooth operations.
- Provide comprehensive administrative support to the office, including answering phone calls, managing correspondence, maintaining office supplies, and preparing letters
- Assist in scheduling and coordinating meetings and appointments
- Prepare and distribute memos, emails, and reports as required
- Maintaining accurate property management tracking sheets/
- Collaborate with vendors, clients, and internal teams to ensure timely and accurate responses
- Assist with the overall operation of the office
- Contribute to process improvements and identify opportunities for efficiency gains
- Work with onsite property managers to ensure smooth operations.

Qualifications:
- Minimum of 2 years of experience in fast paced administrative role, preferably in property management field.
- Proficiency in property management software and Microsoft Office Suite.
- Excellent organizational, communication, and interpersonal skills.
- Proficient in Adobe, intermediate skills in Microsoft Office applications such as Word, Excel, SharePoint, forms.
- Ability to multitask and handle high-stress situations effectively.
- Strong problem-solving skills and attention to detail.
- Strong written and verbal communication skills
- Ability to prioritize tasks and work independently in a fast-paced environment
- Demonstrated problem-solving and analytical abilities
- Discretion and confidentiality when handling sensitive information
- Work Location is in person

Job Types: Full-time, Permanent
Pay: $50,000.00-$65,000.00 per year
