Job Overview
The Program Facilitator -Adult Justice is responsible for delivering high-quality program facilitation and comprehensive administrative support across a range of justice programs within the Adult Justice Team. This role plays a key part in supporting client engagement, program integrity, and overall service effectiveness, ensuring that all interactions and processes align with organizational standards and justice system requirements.
Working in a fast-paced and dynamic environment, the Program Facilitator demonstrates strong attention to detail and organizational skills in the preparation and management of justice-related documentation and reports. Responsibilities include maintaining accurate and confidential client records, compiling and tracking program data, coordinating schedules and appointments, and ensuring timely communication with internal and external stakeholders.
The ideal candidate is highly organized, adaptable, and able to manage competing priorities while maintaining professionalism and accuracy. This role requires a commitment to supporting positive client outcomes, upholding accountability within justice programming, and contributing to a collaborative and responsive team environment.
Duties
- Schedule, and complete client intakes for various justice programs, including gathering required information, assessing eligibility, and orienting clients to program expectations.
- Facilitate ongoing client engagement by providing reminders, follow-ups, and support to promote attendance, participation, and successful program completion.
- Maintain regular communication with clients regarding appointments, program requirements, and outstanding items (e.g., documentation, fees).
- Monitor client participation and complete required tracking forms, including but not limited to client contact logs, program engagement updates and statistical data tracking forms.
- Make appropriate referrals to agency programs or other community-based agencies and services.
- Facilitate various programs offered by Adult Justice Services, including but not limited to Partner Assault Response, Anger Management, and Caring Dads.
- Facilitate and support various programs and services including but not limited to Community Service Orders, Partner Assault Response, Record Suspensions, Direct Accountability, Institutional Services and other programs that may be offered through various funding from time to time.
- Adhere to funder guidelines as outlined by the Ministry of the Attorney General, SOLGEN, Public Safety Canada, and any additional funders that support Adult Justice work with the Society.
- Attend team meetings as required
- Attend training and professional development opportunities as required
- Attend community meetings and participate in committee work as required
- Report any concerns to Adult Justice Co-ordinator and Director.
Administration Tasks
- Maintain accurate, timely, and confidential documentation for all aspects of service delivery, including intakes, case notes, program facilitation, and file management.
- Complete statistical data entry and reporting requirements in alignment with organizational standards and funder expectations.
- Prepare detailed documentation and reports required by justice stakeholders, ensuring accuracy and compliance with contractual obligations.
- Ensure the distribution, collection, and organization of client program evaluations.
- Update and maintain program materials, including converting documents into accessible digital formats (e.g., fillable PDFs) to support in-person and virtual programming.
- Track client fee payments, follow up on outstanding balances, and maintain accurate financial records.
- Prepare and provide client letters pertaining to payment and attendance
- Respond to requests for information from various referral sources and other stakeholders, adhering to policies and procedures and confidentiality guidelines.
Qualifications
Post–secondary education in social services, criminology, community and justice services, psychology, or related field.
Two years work experience (minimum) working in settings or programs that have addressed family violence, and IPV and or services relevant to social and/or justice services
Relevant training certificates an asset (i.e. Motivational Interviewing, Anti-Racism and
Decolonization, Trauma-Informed Care, Positive Space, Brave Space, Restorative Conference Training)
Knowledge regarding IPV, child maltreatment and abuse, and the dynamics of violence and
abuse
Experience utilizing crisis intervention techniques
Experience working with at risk populations

Physical Abilities (where applicable)
Ability to exert up to 30 lbs. of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects.
Ability to engage in sitting, standing, and walking or a mix of all three for long periods of time.
Ability to drive for short to medium periods of time to perform duties of the job, e.g. outreach into the surrounding community, attend community events, program supply shopping, and occasional travel to other JHSK office locations.
