We are immediately hiring an Administrative Assistant to support the Vice Presidents in Consumer Brands. As an integral part of the Consumer Brands team, the self-motivated, positive and friendly Assistant will provide administrative, managerial and organizational support to the VP's, AVP’s and the collective team as required.

What you’ll do
Help to manage the VP/AVP workload, event/travel planning and calendar. Maintains full command of the calendars with a focus on time management, scheduling preferences and resolving conflicts with constant change; while keeping others informed of last minute schedule changes as required.
Coordinate time, travel, meetings, and material to ensure the VP/AVP operate efficiently and effectively. Ensure travel details are in the VP/AVP calendars. Arranges business travel in compliance with company policy for the VP/AVP.
Prepare and submit Concur VISA expenses for the VP/AVP and prepare and submit invoices to Finance in a timely, accurate manner and ensure all accruals are done within the Finance due date. Code/review codes and gets signatures on all invoices to ensure adherence to standards. Prepare accrual sheets for all cost centres and ensure timely submittal to Finance.
Ordering and set up of equipment/telephone/cellphones, workstations, etc. for new employees. Ensure all office supplies are replenished including paper/toner for photocopiers on the floor.
Process payroll and HR transactions accurately and in a timely manner and ensure no impact to the employee.
Maintain filing system and master filing list for the purpose of ensuring easy access to all documents. Maintain accurate and current departmental telephone list on a monthly basis.
Back-up support to other departmental Administrative personnel as required and liaises effectively with other Executive Assistants on a regular basis.

What you bring
Minimum of 3+ years’ experience in an Administrative Assistant role supporting at the VP level; Experience supporting an event planning, marketing or communications team a definite plus.
Technically savvy with advanced proficiency with Microsoft Office: PowerPoint, Outlook, Word, and Excel; strong presentation building skills a definite asset
Strong initiative, positive energy and ability to exercise sound judgement and discretion.
Well organized, able to prioritize and manage multiple tasks simultaneously.
Proactive with the ability to recognize how to increase the effectiveness of the VP, without specific direction
Thrives in a fast-paced, high energy, high volume changing work environment.
Good sense of humour and able to “go with the flow” attitude.
