Maintenance / Dispatch Administrator (Temporary)

NCSG is currently searching for a self-sufficient individual to join our operations team in Fort McMurray, AB region. The Maintenance / Dispatch Administrator will be responsible for providing administrative support to Branch Management and an active participant in the maintenance and dispatch functions of the region to maintain branch and site deliverables. The successful candidate will require strong organizational and communication skills with previous administrative experience. The Maintenance / Dispatch Administrator will ensure NCSG is represented in a professional manner at all times. This position has the potential to be up to a six month term depending on operational requirements and is located in our Ruth Lake branch.

Your success will be defined by your ability to:
Assume responsibility for inputting maintenance information into FCC system and maintains purchase order:
Enter hours and kilometers from daily vehicle logs into FCC and files information accordingly.
Enter into FCC the services performed on each fleet unit from the maintenance repair sheets.
Enters in all CVI’s and Inspections.
Issue a purchase order and receiver number for all vendor invoices.
Photocopies and files the copies of documentation sent to corporate.
Assume responsibility as the timesheet keeper for the payroll department:
Verify accuracy and scan in individual timesheets to payroll.
Maintains confidentiality.

Assume responsibility with supporting dispatch functions:
Enter quotes and sales information into FCC system.
Assist dispatch cranes, operators, support equipment and personnel to meet customer needs.
Ensure operators are dispatched according to union collective agreement.
Secures applicable site permit applications for cranes and personnel.
Identify and gather billable expenditures for customer billing.
Updates crane operator schedules in a timely manner.
Reconcile various statements and reports with corporate office:
Reconciles and coordinates all credit card and fuel statements and ensures that employees have corresponding receipts for verification.
Distributes and updates the information on shared drive regarding credit cards and fuel statements.
Assume responsibility for related duties as required or assigned:
Onboarding processes for the region, including new hire packages, booking camp rooms for employees as required.
Virtual Training set ups to support our training department. Entering safety and transportation related information as required.
Types and assembles a variety of documents including memos, letters, presentations, spreadsheets, and reports.
Other duties as required.

The successful candidate will possess the following qualities:
Minimum High School Diploma; additional related training an asset.
Accommodating, personable and comfortable with dealing with a variety of different peers.
Must be highly organized and able to handle a full workload while having strong attention to detail.
Proficient in various computer applications (Microsoft word and excel).
Excellent oral and written communications abilities.
Excellent interpersonal and customer service skills.
1-3 years’ experience in a fast paced branch/plant site environment carrying out a similar role.
Provide cross shift on an 11 and 3 schedule.
Some on call work may be required during seasonal peaks.
