The Staffing & Operations Coordinator plays a key role in supporting the day-to-day staffing and operational needs of Shift's programs, with a primary focus on workforce coordination and staffing support for our Quebec region.
This position is responsible for coordinating staffing coverage, supporting recruitment and onboarding activities, maintaining staffing systems and records, and assisting with operational and administrative functions that contribute to the smooth delivery of services.

Key Responsibilities:
Staffing Coordination and Support
- Respond promptly to staffing requests and coordinate placement of relief staff for Quebec programs.
- Maintain staffing schedules, staff availability lists, and contact databases.
- Support recruitment activities including job postings, applicant screening, interview scheduling, and reference checks.
- Coordinate onboarding activities and orientation requirements for new staff.
- Communicate with employees and management teams to ensure staffing needs are addressed in a timely manner.
- Monitor staffing vacancies and assist with proactive recruitment efforts.
- Track timesheets, attendance, payroll inputs, and staffing documentation.
- Support employee engagement and retention initiatives as directed.
Administrative Support
- Provide administrative support to the Director of Programs & Services and management team.
- Maintain accurate electronic and paper filing systems.
- Support health and safety documentation, incident follow-up, and administrative reporting requirements.
- Prepare reports, spreadsheets, forms, and other operational documents.
- Assist with travel bookings, itineraries, and logistical planning.
- Contribute to continuous improvement initiatives and process development.
On-Call Responsibilities
This position participates in a rotating on-call schedule to support staffing and operational needs outside of regular business hours.
- On-call responsibilities are shared amongst the staffing team on a rotational basis.
- On-call duties are performed remotely by phone and computer. There is no requirement to drive onsite.
- Most after-hours support involves responding to staffing requests and coordinating shift coverage.
- Additional compensation of $200 per assigned on-call week is provided.

Qualifications:
- Diploma or degree in Business Administration, Human Services, Human Resources, or a related field; equivalent experience will also be considered.
- Experience in staffing coordination, scheduling, administration, or operations support is an asset.
- Experience working in youth care or health-related environments
- Ability to pass required background checks, including Criminal Record Check and Vulnerable Sector Check.
Compensation & Working Conditions:
- $30.00 per hour
- 30 hours per week
- Monday to Thursday, 8:30 a.m. – 4:30 p.m.
