Overview
We are seeking a detail-oriented, bilingual and organized Legal Administrative Assistant to support our legal team. This role requires a professional with strong clerical and administrative skills, excellent communication abilities, and proficiency in various office software. The ideal candidate will be responsible for managing administrative tasks, supporting client interactions, and ensuring the smooth operation of the legal office. Prior experience in legal office settings, bookkeeping, or real estate is a plus. This position offers an opportunity to work in a dynamic legal environment with room for growth.
Duties
- Manage front desk responsibilities including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate filing systems both electronically and physically
- Prepare and proofread legal documents, correspondence, and reports with attention to detail
- Utilize Microsoft Office, Google Workspace, QuickBooks, and other software to support daily operations
- Assist with bookkeeping tasks such as invoicing and record keeping using QuickBooks or similar tools
- Provide exceptional customer support to clients and visitors, ensuring a positive experience
- Support legal staff with administrative tasks such as scheduling appointments, managing calendars, and organizing files
- Handle legal office-related documentation if applicable, including sensitive client records
Qualifications
- Proven clerical or administrative experience, preferably within a legal office setting
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry
- Experience with QuickBooks and basic bookkeeping is desirable
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong typing speed along with proofreading skills to ensure accuracy of documents
- Exceptional customer service skills coupled with professional phone etiquette for handling front desk duties and multi-line phone systems
- Knowledge of filing systems and document management procedures
- Ability to work independently while supporting team needs effectively
- Prior experience in legal office environments is a plus but not required
This position is integral to maintaining the efficiency of our legal practice while providing outstanding support to clients and staff alike.
Pay: $35,000.00-$45,000.00 per hour
