Reporting to the Manager, Student Health and Wellness with functional day-to-day supervision by a Coordinator, the Student Services Representative (SSR) provides front-line student service and acts as a supporting administrative resource to several areas within the Student Health and Wellness Department. This role is integral for quality service to students and effective day-to-day operations of the Counselling Centre and Student Health and Wellness portfolio. The SSR will assess and respond to a wide range of situations and inquiries, from routine to critical and confidential. By exercising judgement and discretion, the SSR must demonstrate sensitivity while supporting a diverse population of students and needs. The successful candidate will be expected to demonstrate initiative and continually develop knowledge and context with respect to the Student Health and Wellness Department.
Responsibilities
Specific duties include a broad range of administrative, clerical and service functions that support the current and evolving needs of students and the Wellness Centre, as well as contributions to continual process improvement. The SSR is expected to be flexible and provide vacation, sick leave, and peak period coverage for similar positions in associated divisions. Specific duties include, but are not limited to:
- Providing administrative support to Counselling staff including managing daybooks, scheduling of appointments, and confidential document management;
- Providing administrative support to Northern Health contracted Physicians providing specialized medical and mental health services within the Student Health and Wellness Centre;
- Providing professional and courteous responses and advice to inquiries from students, the public, staff, faculty and other internal and external contacts;
- Identifying critical student situations, and determining the urgency of requests for services while working closely with the clinical team to manage flow of clients;
- Establishing, maintaining and improving electronic records and databases in accordance with FIPPA legislation and other regulating bodies;
- Authoring, proofreading, editing and formatting general or standard correspondence and written materials, including web content, promotional materials, departmental forms, and presentations;
- Providing service and appropriate referrals based on institutional knowledge and a thorough and current understanding of the Wellness Centre;
- Supporting Student Health and Wellness Staff with special health promotion events or initiatives including developing Health/Event Promotion materials and coordinating communication and organization of Wellness events;
- Coordinating regular and special meetings and events, including room bookings and catering arrangements, preparation of agendas, minute-taking and follow-up;
- Providing occasional guidance, orientation and training for other staff members and practicum students;
- Assisting in tracking and monitoring the department’s budget, maintaining financial records, reconciliation of expenses and producing reports as requested;
- Preparing financial and human resources documents, as required;
- Ensuring the maintenance and distribution of adequate office supplies and equipment; and
- Providing administrative support for the Manager of Student Health and Wellness, including scheduling, bookings, preparation of documents and materials.
Qualifications
The successful candidate will possess a certificate or diploma in Medical Office Assistant, office or business administration. 3+ years’ related experience in a medical, health, counselling or psychiatric setting is preferred. An equivalent combination of education and experience will be considered.
Proficiency in electronic medical records (MOIS) and the Microsoft Office Suite (Outlook, Word, Excel, Access, PowerPoint) is required. Experience with Drupal and working knowledge of budgets and relational database interfaces (e.g., Banner, FAST Portal) is considered an asset. The ability to work independently in a busy and challenging environment and as an active member of an integrated team is essential for success in this position. An understanding of University administrative structures, policies and procedures and familiarity with survey tools are assets.
Salary
This position has been classified at a Grade 6. The annual salary range for this position is $58,858.80 to $61,279.40, and the normal starting salary will be $58,858.80 pro-rated based on length of term.
