$41,314.00-$50,213.80/ Year, based on 35 hours per week
Job Summary: The Medical Secretary is part of an integrated administrative team and provides front-line reception and
administrative support to the Centre. This role supports the onboarding of new clients and is responsible for BQWCHC
chart management. Responsibilities include coordinating and maintaining appointments, managing incoming/outgoing
faxes, completing electronic data transfers and uploading of relevant clinical and administrative documentation. The
Medical Secretary also manages third party billing systems and responds to requests for records from clients, legal
authorities and other approved agents. The position provides back-up support for clerical, administrative and reception
functions, as required.

Key Areas of Responsibility:
Provides general secretarial services to support the Centre’s teams, programs and activities, including preparing
correspondence, reports and related documentation
Maintains electronic waitlist database and coordinates/schedules new client intake appointments, ensuring
client demographic information is accurately and promptly updated in electronic systems
Files and scans clinical information, including referral letters and other correspondence into client charts
Coordinates specialist and diagnostic testing appointments and follows up as required to ensure timely
communication with clients and providers, including identifying and communicating any challenges or delays
Prepares, maintains, updates, retrieves, tracks and files client charts electronically
Processes third party billing
Monitors, orders and maintains medical supply inventory
Assists with client appointment scheduling, and provides general reception support, as required.
Qualifications:
Medical Secretary Certificate and/or equivalent education and experience in a health care setting
Proficiency in use of computers and various software applications; office equipment
Experience with electronic medical records (Telus PS Suites) is considered an asset
Seasoned professional with excellent communication skills and ability to work well in an inter-professional and
collaborative environment
Demonstrates ability to work effectively and efficiently with a focus on details and accuracy in a fast-paced
environment
Experience working effectively with communities and individuals who face barriers to accessing equitable care,
including those with mental health and addictions challenges, history of trauma, etc., is considered an asset
Some evening shifts are required.
