Position Overview
The Director of Finance and Operations role is essential to shaping the financial and operational strategies of Halton Women’s Place. As a strategic partner to the Executive Director, this role contributes to long-term financial planning, operational policy development, and risk management across finance, operations, human resources, and technology. Reporting directly to the Executive Director, this position also collaborates closely with board members and stakeholders to ensure financial transparency and organizational effectiveness.
This position oversees all finance and operations for the Organization, with three direct reports and one indirect dotted line report.
Key Responsibilities:
Strategic Leadership and Financial Oversight

Serve as a trusted advisor to the Executive Director, supporting decision-making on financial matters, policy development, and strategic planning.

Develop the operational budget, financial forecasts, and long-term financial strategy.

Lead financial reporting and audits, presenting findings to the board and Executive Director to ensure transparency and accountability.

Implement and refine financial systems, policies, and procedures to support organizational effectiveness.
Financial Management, Analysis & Reporting

Oversee all financial transactions, including payroll, accounts payable, and donor receipts, ensuring compliance with government remittance requirements and regulatory standards.

Conduct regular financial analysis to monitor organizational performance, providing insights and recommendations on resource allocation to support strategic goals.

Prepare and submit reports to the Ministry of Children, Community and Social Services via Transfer Payment Ontario, ensuring accurate and timely compliance.

Collaborate with the Executive Director to deliver monthly financial reports to the Board of Directors, offering clear insights into financial health and performance.
Operations and Facilities Management

Oversee safe and secure facility operations, including vendor contracts, procurement processes, and capital improvement budgets.

Ensure facility standards meet the safety, security, and operational needs of all staff and residents.
Human Resources

Collaborate with and support HR, who oversees the day-to-day transactional HR functions, including; employee relations, recruitment, onboarding, retention strategies, and compliance with employment standards, health and safety regulations, and collective agreements.

Support and provide guidance for all HR Initiatives
Information Technology

Oversee IT infrastructure, coordinating with external IT consultants to maintain hardware and software functionality.

Manage asset procurement and lifecycle for all IT systems to ensure continuous operational security and efficiency.
Privacy and Compliance

Act as the Chief Privacy Officer, maintaining compliance with data privacy standards, collaborating with HR and the Director of Client Services to ensure secure record-keeping for the Agency.

Facilitate accessible and transparent complaint and grievance processes for all stakeholders, ensuring alignment with privacy and confidentiality standards
Core Qualifications

CPA certification required
-
Minimum of 7 years of nonprofit financial management experience.

Proven leadership in managing teams, optimizing processes and improving systems, with a commitment to operational efficiency.

Experience in budget development, and comprehensive financial reporting.

Proficiency with Sage 300, Excel, and other accounting software; advanced analytical skills.

Familiarity with the ADP (HRIS & Payroll system) is an asset

Exceptional relationship-building skills to communicate financial concepts to non-financial stakeholders effectively.
