Front Desk Responsibilities:
· Display strong communication skills with patients and doctors
· Manage appointment schedules for physicians
· Managing phone calls, emails, faxes
· Working well with others
· Show ability to learn and grow as the position demands
· Ensure EMR is current with patient information, schedules, and billing
· Receive, process, and document payment for private billings
· Open and/or close clinic, including arming and disarming alarm system and power door.
· Arrive before clinic opening time and stay after closing as required
· Treat ALL patient information as confidential including maintaining awareness of those around you when discussing patient information in the clinic or on the phone.
· Review and understand the principles of the Personal Health Information Protection Act as provided to you by the employer
· Ensure a signed release is provided by the patient for any patient information that is requested by a third party
· Does not provide lab and imaging results verbally, via email or hard copy to the patient without express physician consent.
· Review and validate health cards prior to adding a patient to the schedule
· Coordinate consultations, lab and diagnostic test and/or bookings
· Monitor, clear and record temperatures of vaccine fridges and alert Managing Director if not within the allowed range of 2 to 8 degrees Celsius
· Triage patient complaints appropriately, directing issues to Managing director and/or Medical Director when required.
· Assisting physicians with clinical and non-clinical tasks as needed within Assistants qualifications.
· Sterilize medical equipment as directed
· Ensure all exam rooms, reception, washrooms, and kitchen are fully stocked and tidy.
· Wear professional attire during business hours. Scrubs are allowable.
· Only clinic related work is to be done during office hours. Personal phone calls, emails, social media are to be done during breaks or on personal time.
Back Office Responsibilities:
· Return voicemails and emails.
· Ensure communication with front desk staff on any communications made with patients.
· Sterilize equipment
· Manage supplies and inform Managing Director of upcoming needs in supply.
· Assist physicians with physicals by measuring and recording patient’s blood pressure and weight.
· Ensure all exam rooms, reception, washrooms, and kitchen are fully stocked and tidy.
