Low Tide Properties is a private real estate investment, development, and management company founded in 2011 and headquartered in Vancouver, Canada. The Opportunity
We are seeking a detail-oriented and proactive Manager of Lease Documentation to join our team. The successful candidate will have the opportunity to own this job function for the long term and drive continuous improvements in our leasing processes. This role will evolve to include additional corporate documentation responsibilities over time, making it ideal for someone looking to make a significant impact in the organization.
Responsibilities
- Draft all lease related documents (leases/amendments/surrender agreements, default, and termination letters etc.).
- Consult with legal counsel on all major lease changes and ensure the asset manager and senior management have signed off on all changes.
- Facilitate the tracking and management of critical lease dates, such as condition waiver dates, deposit remittance deadlines, and lease commission trigger dates.
- Proactively follow up with asset managers, brokers, and tenants to ensure timely completion of due diligence material gathering and compliance with deadlines, driving accountability and ensure all parties are informed and organized while maintaining an efficient workflow.
- Manage the execution of all legal documents via DocuSign, including ensuring all executed documents are correctly saved on the server with appropriate naming conventions and in their respective folders.
- Ensure that the lease transaction analysis is signed in accordance with the signing authority document before proceeding with subject removal and in the case of existing leases, prior to executing the relevant lease document.
- Keep the property management and accounting teams apprised of all deals, important dates, and any deviations from our standard form.
- Ensure that the property manager is involved in the leasing process as outlined in the Lease Transaction Process.
- Prepare lease abstracts for all new leases and update accordingly to account for any changes made thereto by way of a lease amendment or otherwise and circulate via DocuSign to the respective property manager, asset manager and property accountant for review and initialing.
- Send leasing activity emails on a weekly basis depicting details of all active deals.
- Track important tenant lease options (ROFO, ROFR, caps on operating costs, audit rights, and all other non-standard lease rights granted) and any critical dates associated therewith (ex. trigger dates, expiration of rights, etc.).
- Keep all leasing templates up to date in terms of content and formatting.
- Explore and implement new technologies or software, including AI solutions, to enhance the efficiency and accuracy of the leasing process, ensuring practices remain innovative and effective.
- Other additional tasks and responsibilities may be required as part of the operations of the Asset Management team.
Qualifications
- A minimum of 5 years of progressive experience in contract management, commercial lease negotiation or lease administration.
- Bachelor’s Degree in Commerce, Business Administration, Real Estate or law.
- Paralegal Certification/Degree is highly preferred.
- Attention to detail, strong ability to review, interpret and draft complex legal documents.
- Proficient in legal jargon and analyzing lease terms and conditions.
- Strong written and verbal communication skills.
- Ability to work under pressure and meet tight deadlines.
- Highly organized, proactive and self-motivated team player who takes initiative.
- Proficient in Microsoft office and legal software.
- Demonstrated ability to communicate effectively and build strong working relationships across multiple departments and with employees at all levels.
