Rare Toronto Agency is looking for a reliable, organized, and versatile Assistant to support our growing media and marketing agency.
This role is ideal for someone who is confident communicating with clients, comfortable making calls, organized with administrative work, and interested in content creation and social media. You will help support daily agency operations, manage client communication, assist with invoicing and follow-ups, and create basic creative materials for both the agency and our clients.
The right candidate is professional, motivated, detail-oriented, and able to handle different tasks throughout the day in a fast-paced environment.
Responsibilities
- Provide day-to-day administrative support, including data entry, scheduling, file organization, and task tracking
- Create and send invoices, track payments, and follow up on overdue balances when needed
- Communicate with current clients by phone, email, and messaging platforms in a professional manner
- Follow up with new leads and inquiries about our marketing, video production, and social media services
- Assist with prospecting, outreach, and building the agency’s client pipeline
- Help manage client accounts, requests, updates, and general inquiries
- Create simple branded content using Canva, including social media posts, proposals, presentations, and promotional materials
- Edit short-form videos using CapCut or similar editing software for agency and client social media content
- Maintain organized digital folders, client files, documents, and internal systems
- Represent the agency professionally on camera, in videos, and during client interactions when required
- Support agency projects, shoots, campaigns, and special tasks as needed
Qualifications & Skills
- Strong verbal and written communication skills
- Professional phone etiquette and confidence speaking with clients and prospects
- Comfortable with client follow-ups, outreach, and sales-related conversations
- Comfortable appearing on camera for content, videos, or client-facing material when needed
- Basic to intermediate Canva skills; graphic design experience is an asset
- Familiarity with CapCut, Instagram, TikTok, or short-form video editing is an asset
- Comfortable using Google Workspace, including Google Docs, Google Sheets, Google Drive, and Gmail
- Strong organizational, multitasking, and time-management abilities
- Detail-oriented, dependable, and able to take initiative
- Previous experience in administration, customer service, sales, marketing, social media, or a creative agency is preferred but not required

- Fixed hourly pay
