The Administrative Personal Assistant will provide high-quality administrative and clerical support to the office of the President. The Administrative Assistant will have hands-on experience organizing meetings, taking minutes, drafting internal and external communications as well as maintaining the calendars of the President. The high degree of interaction this role has with management, and employees, residents and the public necessitates an individual that at all times act with a high degree of professionalism and confidentiality. This position requires a self-driven, resourceful and task oriented individual who is willing to accept new challenges in tandem with the organization’s growth.

Responsibilities:

  • Manage schedule, ensuring that no conflicts arise between personal and professional commitments
  • Plan travel itineraries and coordinate all logistics; comfortable with coordinating international travel
  • Complete administrative duties within the office such as retrieving packages, collecting and sorting mail, filing, ordering office supplies, receiving visitors
  • Plan and organize meetings and events
  • May prepare presentations and reports
  • Take meeting notes and keep them organized
  • Seek out and proactively suggest improvements to processes and new responsibilities and projects
  • Run any necessary errands on Presidents behalf

Requirements:

  • Able to operate autonomously with minimum guidance
  • Excellent communicator, communication style is clear and concise
  • Must be very tech-savvy with minimum training and guidance required
  • Flexible working hours - available evenings and weekends as required/agreed
  • Excellent organizational skills with a strong ability to prioritize and multi-task
  • Strong problem-solving skills, must be able to independently resolve challenging situations and troubleshoot with little or no guidance in a timely manner
  • Forward-thinking and proactive when planning for everyday situations, anticipating every need
  • Must own a reliable vehicle and be flexible to travel locally as required
