About the Role
Prime Performance & Therapy is seeking an experienced and motivated Manager to oversee the day-to-day operations of our gym and clinic.
The Manager will be responsible for supervising daily activities and scheduling, supporting department heads and managers, overseeing policies and procedures, managing employee onboarding and offboarding, monitoring performance, and ensuring that all departments operate efficiently and meet established performance targets.
This position requires a strong leader who is organized, approachable, accountable, and comfortable working across both administrative and practitioner teams. The Manager will serve as an important connection between leadership, employees, practitioners, clients, and external partners.
Key Responsibilities
Day-to-Day Management & Supervision
- Supervise day-to-day activities and scheduling across the gym and clinic
- Ensure departments are adequately staffed and operating efficiently
- Assess and monitor ongoing administrative staff and practitioner needs
- Ensure all departments meet established performance targets
- Uphold company standards and ensure managers and department heads are meeting their responsibilities
- Support managers with questions, problem-solving, and day-to-day leadership challenges
- Maintain a professional, positive, safe, and productive workplace environment
Operations & Policies
- Oversee and uphold clinic, gym, and company policies and procedures
- Create, maintain, and regularly update Standard Operating Procedures (SOPs)
- Develop and maintain training materials and operational documentation
- Identify opportunities to improve operational efficiency and service delivery
- Ensure policies and procedures are consistently communicated and followed
- Create and uphold a safe and secure channel for staff and clients to raise concerns and provide feedback
- Schedule and lead bi-weekly front desk meetings
Purchasing & Supplies
- Oversee ordering of supplies for the clinic and gym
- Review supply requirements and purchasing activity
- Maintain and review the Purchase Log
- Monitor inventory and identify upcoming supply needs
- Work with appropriate team members and vendors to ensure supplies are available when needed
Employee Management & Development
- Manage employee onboarding and offboarding processes
- Coordinate and support training for new employees
- Work with department heads to create and implement effective training programs
- Review employee performance evaluations and related reports
- Assist with the review and documentation of raises, incidents, and disciplinary matters
- Answer employee questions and provide guidance on workplace policies and procedures
- Support managers and department heads in addressing employee performance and workplace concerns
- Monitor employee morale through surveys, feedback, and other methods
- Develop and implement programs designed to improve employee engagement and morale
- Create and oversee recognition initiatives, including bonuses, top-performer rewards, and other incentive programs
Incident & Complaint Management
- Follow up on internal and external incidents as required
- Respond to questions and concerns raised by employees
- Record, document, and investigate complaints when necessary
- Ensure appropriate follow-up and resolution of incidents
- Maintain accurate documentation related to workplace incidents and complaints
- De-escalate issues appropriately when required
- Help maintain a safe, respectful, and secure environment for staff, practitioners, and clients
Reviews & Feedback
- Monitor and respond to internal reviews and Google reviews
- Ensure feedback is acknowledged and addressed professionally
- Identify recurring concerns and opportunities for improvement
- Use client and employee feedback to help improve operations and service quality
Training & Performance
- Coordinate training for new employees
- Work collaboratively with department heads to develop department-specific training programs
- Ensure training materials remain current and accessible
- Monitor employee performance and assist managers with performance-related matters
- Review performance evaluations and other relevant reports
- Help identify areas where additional training, coaching, or support may be required
External Partnerships & Representation
- Represent Prime Performance & Therapy in external partnerships and negotiations
- Build and maintain positive relationships with external organizations, vendors, and partners
- Participate in meetings and negotiations on behalf of the office
- Help identify opportunities for strategic partnerships and business development
- Represent the organization professionally and consistently with its values

- Experience in a gym, clinic, healthcare, sports, or performance environment is an asset
