The Kitchener-Waterloo-Cambridge Skin Cancer Screening Clinic is a growing, primary-care-based clinic dedicated to the early detection of skin cancer. As our clinic continues to expand, we are looking for an additional Medical Office Administrator to join our administrative team and work closely with our Clinical Lead Administrator to support smooth, professional, and patient-centred clinic operations.

As a Medical Office Administrator, you will be one of the first points of contact for patients and will play an important role in creating a seamless and positive clinic experience. From scheduling appointments and processing payments to supporting physicians, maintaining records, and helping the front office run efficiently, your work will directly contribute to making preventive care more accessible, organized, and human.
What You’ll Do
- Greet patients and visitors with professionalism, warmth, and empathy
- Manage appointment scheduling, referrals, billing, and payments
- Maintain and update patient records using an electronic medical record system and other clinic software
- Support day-to-day clinic operations, including faxing, scanning, filing, phone calls, and email communication
- Coordinate communication between patients, clinicians, and healthcare partners
- Assist with supply inventory and general front-office organization
- Work closely with the Clinical Lead Administrator to ensure clinic systems, workflows, and patient service standards are followed
- Help maintain an organized, efficient, confidential, and welcoming clinic environment
What We’re Looking For
- Previous experience in a medical office, healthcare, or administrative role preferred
- Comfort working with EMRs and a willingness to learn new medical software and clinic systems
- Excellent communication, multitasking, and organizational skills
- A friendly, professional demeanor and strong commitment to patient confidentiality
- Ability to stay calm, accurate, and efficient in a busy clinical environment
- Strong attention to detail and comfort following established processes
- A positive attitude and desire to contribute to a collaborative team
- Reliability, maturity, and a patient-first approach
