The Billing Supervisor reports to the Transportation Manager and is responsible for leading the billing team by being a resource and the ‘go to’ person. They set the pace for the day, ensuring that that billing, account receivables, and account payables are completed in a timely and accurate manner. As a member of the NLS leadership team, The Billing Supervisor also ensures that all tasks are completed in a safe and efficient manner. The facility is approximately 300,000 square ft. The hours of work are Monday to Friday, 9:00 am to 5:30 pm.
The Billing Supervisor is responsible but not limited to:
Lead a department of employees who are responsible for following Standard Operating Procedures/Work Instructions and meeting Key Performance Indicators (KPIs) as set by the Transportation Manager
Plan and organize work deadlines, while establishing department workflow and billing frequency
Provide training to ensure that employees are capable of meeting individual performance goals and are cross trained to provide backup support when needed (billing, revenue capture)
Assess employee performance and provide coaching, fair and consistent feedback
Monitor the billing database to ensure tasks are completed by the team in a timely and accurate manner; entries are completed daily and all customer billing is completed weekly
Support internal and external auditors;
Perform daily activities of billing and auditing
assist in audit accuracy of all payables and receivables for NLS Transportation
Responsible to ensure quality standards are met by auditing, analyzing data and reviewing paperwork.
Liaise with internal departments such as Customer Service, Operations and Inventory Management to investigate and resolve operational and client issues.
Proactively investigate and resolve operational issues as they develop; responsible for resolving matters connected with client requests, the billing process, and efficiency within the department
Communicate with management on day-to-day issues
Develop and prepare accurate reports and metrics
Assist in maintaining cycle of inbound invoices from all Transportation agents and partners
Assist with review of customers aged receivables on a weekly basis using account statements
Assist the Transportation Manager in month end closing, reporting and analysis
Manage employee attendance and punctuality with immediate resolution as incidences occur
Ensure adequate resources are available for the team, order supplies as required
Ensure department confidentiality of sensitive information
Ensure compliance with company policies, procedures and regulatory bodies
Be knowledgeable about Health & Safety legislation and abiding by the NLS policies and programs

Participate in projects and other duties as assigned
2+ years of supervisory experience in a similar role
3rd party logistics environment and/or transportation experience is preferred
Demonstrated strong leadership with excellent interpersonal skills
Proven ability to encourage and motivate others in a positive manner
Ability to prioritize and manage time appropriately to meet deadlines
Demonstrated ability to manage multiple tasks in a fast-paced environment
Works well under pressure
Intermediate-Advanced proficiency with Microsoft Office (Excel, Word, Outlook)
MS-SQL or other database experience preferred
Ability to translate and analyze data into reports
Minimum High School diploma
Post-secondary education in Accounting, Finance, Business Administration, other related field or equivalent experience
