Administrative Assistant

Our client, an urban design company in Waterloo Region is looking for an Administrative Assistant to join their team in a full-time role!

You will support the Team by:
Providing administrative support to Planners in the preparation of land use planning applications, expropriation matters, resource management applications, presentation materials for public meetings, Committee/Council meetings, Tribunals, and other planning applications;
Dicta-typing, travel bookings, scheduling meetings, arranging conference calls, preparing and scheduling couriers, arranging catering for meeting lunches, reception relief;
Managing correspondence/email files on behalf of senior executives;
Managing digital and hard copy project files;
Accounts payable/receivable, preparation of project budget spreadsheets;
Filling in for other administrative staff positions as required due to vacation or other time away.

You have the following skills:
Post secondary education (diploma or certificate) preferred;
Five years experience in a similar role.
Positive attitude; team player attitude
Strong computer literacy and digital file management skills;
Detail oriented/advanced skills in MS Office Suite, Adobe Writer;
Understanding of basic bookkeeping, knowledge of Sage AccPac ERP would be an asset;
Time management skills/the ability juggle multiple priorities in a supporting role to a senior executive;
Excellent inter-personal skills/client relationship management skills;
Ability to demonstrate complete confidentiality with respect to client projects and company business;
Flexibility to work extra hours to meet client project deadlines when required;
Excellent written and verbal communication skills;
Knowledge of land use planning in Ontario would be an asset.
