Scope
The Mail Room Clerk 2 is responsible for managing incoming and outgoing Canada Post and inter-office mail for the City of Surrey. This includes preparing mail bundles for courier delivery to offsite offices, managing registered mail, managing newspaper distribution to departments, and operating the folder/inserter and postage machines. The daily recording of the number of incoming packages and shipments received is also required. Working in a team environment, you will be responsible to the Records Manager and Records Centre Supervisor for ensuring compliance with the City of Surrey office mail program.
Responsibilities
As the ideal candidate, you will be involved in:
Sorting, checking and maintaining office mail such as files, reports, invoices, office supplies, field sheets’, cheques, bills, receipts and requisitions.
Performing data collection and entry as well as preparing basic correspondence.
Assisting other staff in performing their duties, including assisting in various records management projects.
Operating automated letter inserter and postage machines
Delivery and movement of interoffice mail
Preparing regular and on-demand mailroom reports
Performing related duties as required.
Qualifications
Completion of Grade 12, supplemented by courses in office administration or related courses
Minimum of 1 year experience in an office environment
An accurate typing speed of 40 WPM
Have a logical, methodical, and detail oriented approach
Have good interpersonal skills and the ability to forge positive work relationships with staff from a range of departments.
Good written and verbal communication skills as well as effectively carry out oral and written instruction.
Prioritize a large volume of work and be able to meet tight deadlines
Capable of lifting 25 – 30 lbs. and regularly transport mail bins.
