OFFICE ADMINISTRATOR
Reporting to the Director of Finance & Administration, the Office Administrator plays an important role in supporting the day-to-day operations of the Saskatchewan REALTORS® Association (SRA). As the first point of contact for many members, stakeholders, and visitors, this position helps ensure the office operates smoothly, professionally, and efficiently.
This role is responsible for front-line reception and inquiry management, facility coordination, office administration, and supporting the operational needs of the organization. The Office Administrator is highly organized, service-oriented, proactive, and takes pride in creating a welcoming and well-run environment for staff, members, and guests.
ABOUT THE SRA
The Association provides leadership and services that support over 1,800 REALTORS® in Saskatchewan through technology, learning, and advocacy. The Association is also the expert voice invested in bringing insight to public policy makers on matters that affect growth, housing, real estate, and the creation of wealth in our communities.
PRIMARY RESPONSIBILITIES
Reception & Member Support
- Act as the first point of contact for visitors, members, and stakeholders at the SRA office.
- Answer and direct incoming calls through the Association’s general inquiry line.
- Monitor and respond to inquiries received through the general email account.
- Receive and distribute mail, courier deliveries, and shipments.
- Provide a welcoming and professional front-office experience.
- Act as the primary lead for lockbox administration - assign, replace, distribute, maintain & inventory of lockboxes
- Troubleshoot and problem solve issues
- Handle returns of used and defective lockbox and ordering of new inventory to Supra.
- Provide backup support with membership-related activities, including applications, maintenance of member records and responding to inquiries.
Office & Facility Administration
- Coordinate and manage bookings for the boardroom, classroom, and auditorium.
- Maintain shared office spaces including meeting rooms, kitchen areas, and reception spaces.
- Process expense transactions, reviewing for accuracy and categorization. Receipt direct deposit payments and accounts receivable follow-up.
- Coordinate office supply, kitchen, and custodial inventory and place orders as required.
- Maintain office equipment and coordinate servicing when required.
- Support office operations by assisting with general day-to-day tasks that keep the office running smoothly.
- Assist with event preparation including coffee service, room setup and reset.
- Contribute to development and maintenance of administrative policies and processes.
Building Operations & Safety
- Coordinate regular fire drills and support ongoing fire safety compliance.
- Ensure fire extinguishers and related safety equipment are maintained and up to date.
- Administer and track office security key fobs and access.
- Coordinate with external vendors and service providers as needed for office operations and maintenance.
Event & Team Support
- Provide administrative and operational support during Association meetings, education sessions, and events.
- Assist with setup, registration support, and onsite logistics when required.
- Support various departments with administrative tasks and special projects as needed.
QUALIFICATIONS
- Certificate or diploma from a recognized business or administrative program.
- 3+ years of experience in an administrative or office support role.
- Strong customer service and communication skills.
- Excellent organizational and multitasking abilities.
- Proficiency with Microsoft Office applications.
- Ability to work independently and adapt in a fast-paced environment.
- A proactive approach with a willingness to pitch in and support the team wherever needed.
