The Role
We're hiring a Legal Receptionist / Legal Assistant to serve as the welcoming face of our firm and a key support to our lawyers. This is a dual role that combines front-of-house reception and client intake with hands-on legal assistant work across several of our practice areas. It's an excellent opportunity for an organized, polished professional who enjoys variety and wants to be at the centre of a busy boutique firm.
Reception & Office Administration
- Greet clients and visitors, creating a warm and professional first impression
- Answer, screen, and direct incoming calls and manage general firm correspondence
- Handle incoming and outgoing mail, couriers, and deliveries
- Conduct client intake, open new matters, and set up and maintain physical and electronic files
- Maintain our practice management system (Clio) — posting time and disbursements, billing entries, file management, and ensuring data accuracy
- Coordinate meetings, manage boardroom bookings, and prepare meeting spaces
- Order and manage office supplies and support day-to-day office operations
- Maintain the firm's filing, scanning, and document management systems
Legal Assistant Support
You'll provide direct support to our lawyers across the following practice areas:
- Corporate & Commercial: preparing and formatting transaction documents, maintaining minute books and corporate records, assisting with incorporations and annual filings
- Securities & Capital Markets: assisting with regulatory filings, document preparation, and closing logistics
- Wills & Estates: preparing estate planning documents, assisting with probate applications, and managing client correspondence
Across all areas, you'll handle document preparation and formatting, e-filing, calendar and deadline management, and client communications.
What We're Looking For
- 3+ years of experience in a legal environment (reception, legal assistant, or legal administration)
- Hands-on experience with Clio (strongly preferred) or comparable legal practice management software
- Exposure to corporate, securities, or wills and estates files is a strong asset
- Strong written and verbal communication skills and a professional, client-first manner
- Excellent organization, attention to detail, and the ability to manage competing priorities and deadlines
- Proficiency with Microsoft Office (Word, Outlook, Excel) and comfort learning new technology
- Discretion and sound judgment in handling confidential and sensitive information
- A proactive, reliable team player who takes ownership of their work
- Fluency in additional languages is an asset
