About the Role
As LAC grows, our executive team needs a highly capable, discreet, and proactive Executive Coordinator to keep them organized, focused, and effective. This role exists to make our leadership operate at their best by managing their time, information flow, and administrative load so they can stay focused on the highest-value work.
You will serve as the primary point of operational and administrative support for the COO and operations leadership (a shared services hub) owning calendars, communications, and coordination across a globally distributed team. This is not a passive, order-taking role; you will anticipate needs, manage competing priorities, push back when necessary, and bring structure and calm to a fast-moving environment. While you’ll assist folks from across our org, your primary anchor will be the operations team.

Compensation & Benefits
- $70,000–$90,000 CAD annual salary

Key Responsibilities
Executive Calendar & Schedule Management
- Own and manage the executive and leadership team’s calendar with full authority to schedule, reschedule, protect focus time, and resolve conflicts.
- Coordinate across time zones (Pacific, India, Europe) to schedule meetings with internal teams, clients, partners, and board members.
- Proactively manage daily and weekly schedules to ensure preparation time, travel buffers, and prioritization of high-value commitments.
- Prepare briefing notes and relevant background materials before key meetings.
- Track action items and follow-ups from meetings and ensure timely completion.
Administrative & Operational Support
- Manage and triage executive email and communications, drafting responses and flagging items requiring immediate attention.
- Coordinate travel logistics, including flights, accommodations, itineraries, and expense reporting.
- Prepare and edit internal and external communications, presentations, and documents on behalf of the executive team.
- Handle sensitive and confidential information with discretion and professionalism at all times.
- Maintain organized systems for document management, contacts, and follow-through tracking.
- Provide administrative support for board meetings, partner engagements, and client interactions, including logistics, coordination, and preparation of materials.
Cross-Functional Coordination
- Act as a coordination hub between the executive and internal teams, ensuring that decisions, priorities, and action items are communicated clearly and followed through.
- Manage logistics and agendas for leadership meetings, ensuring they run efficiently and produce clear decisions and next steps.
- Track open items, commitments, and deadlines across the executive team and surface anything at risk of falling through the cracks.
- Serve as a trusted point of contact for internal stakeholders seeking access to or input from the executive team.
Operational Efficiency
- Identify and implement improvements to executive workflows, tools, and routines that save time and reduce friction.
- Build and maintain lightweight systems for tracking decisions, action items, and priorities across the leadership team.
- Assist with special projects that require executive oversight, taking on scoping and coordination tasks to reduce the load on senior leaders.
Qualifications & Experience
- 5+ years of experience in a senior Executive Assistant, Executive Coordinator, or similar role supporting C-suite or senior executive leaders.
- Demonstrated ability to manage complex, multi-time zone executive calendars and competing scheduling demands with confidence and good judgment.
- Strong written and verbal communication skills; able to draft professional communications on behalf of senior leaders.
- High proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and document management tools.
- Experience working with AI tools like Claude as part of your daily work.
- Experience supporting executives in remote-first or globally distributed organizations is strongly preferred.
- Proven discretion in handling confidential information and sensitive organizational matters.
- Excellent organizational and follow-through skills; nothing falls through the cracks on your watch.
- Ability to pass a background check and security clearance, if required.
