Role Summary:
Reporting directly to the Senior Controller, the Receptionist will be responsible for providing professional, courteous, and effective front office services at Edmonton Tower, as well as administrative support when necessary.

Essential Duties and Responsibilities:
Perform the day-to-day administration of the front office – including answering telephones and emails, distribution of mail, and greet and direct clients/guests
Respond professionally and efficiently to inquiries from the general public, as well as clients/guests who have been directed to Reception
Maintain calendar for meeting room bookings
Process all incoming and outgoing mail, and courier deliveries
Distribute incoming mail to the appropriate departments and posts all outgoing mail on a daily basis
Coordinate on and off-site meeting requirements; scheduling rooms, arrange hospitality/catering, and schedule audio/visual needs
Assist with coordinating staff lunches, events, and celebrations, as required
Develop and maintain an inventory standard checklist for supplies (e.g. coffee, creamers, soft drinks, water, toner, photocopy paper, etc.) and conduct bi-weekly audits to replenish low stock
Order all office and meeting room supplies (as noted above), including staff requests
Coordinate maintenance and repairs of office equipment (e.g. photocopier, etc.)
Maintain and update reception manual
Maintain and update contact list
Organize and tidy up reception area, kitchen (including load/unload dishwasher) and boardrooms, as required
Assist staff with general administrative tasks, such as; photocopying, scanning, binder building, etc.
Assist with developing new procedures for office efficiencies
Practice fiscal responsibility by researching/providing quotes from different vendors for special/unique requests
Assist team with general administrative tasks, such as; photocopying, scanning, binder building, central filing, when required
Other administrative duties, as required

Ideal Qualifications:
Post-secondary Diploma or Degree is preferred.
Minimum of 1-2 years of administrative experience required.
Must be proficient in Microsoft Office, which includes Word, Excel, PowerPoint and Outlook.
Must be punctual and adherence to working hours is critical
Extremely strong communication skills, both written and verbal
Experience in a professional environment with an ability to uphold a professional demeanor is required.
