Student Wellness Services within Student Experience and Support is currently seeking a Full-time Regular Billing Coordinator.
Reporting to the Director, Student Wellness Services, this position is responsible for a full range of administrative services for the health and wellness clinics operating within SWAS. The role supports the business operations of medical, counselling, social work, chiropractic, massage therapy services provided to students within the clinic. These functions include, but are not limited, to all aspects of physician, allied health, and counselling billing; reconciliation; preparing and completing deposits; managing AHS billing rejections; high-level administrative responsibilities with the electronic medical system; and working with the reception and professional teams. The person in this position works closely with physicians, nursing staff and other allied health and mental health professionals to deal with a wide variety of student needs within a clinical setting.
Summary of Key Responsibilities (job functions include but are not limited to):

Collaborates with the appropriate manager, to support when needed, the functions and processes of the reception staff within SWS.

Liaises with the reporting manager, nursing, Director/Senior Director, other SWS managers, clinic physicians, specialists, and health practitioners when required.

Acts as a resource mentor for new and existing reception staff, including but not limited to electronic medical record and scheduling systems.

Coordinates and enters in contractor clinic schedules into the electronic medical record.

Participates in the training and development of reception staff as required.
- Identifies potential training needs and makes recommendation to the responsible SWS manager.

Supports SWS records management and chart transfer systems, in consultation with the appropriate manager, physicians and healthcare practitioners.

Monitors electronic medical record system to identify and troubleshoot problems in the system.

Prepares correspondence as necessary for students and clinic staff.

Monitors and orders clinic office supplies.

Performs administrative onboarding and offboarding for new employees.

Preparing and managing chart transfers by extracting and compiling a range of data from medical records adhering to HIA, POPA and College of Physician and Surgeons of Alberta (CPSA) guidelines.

Generates comprehensive and customizable billing and operational reports upon request.

Works effectively with clinic physicians, nurses, and health practitioners to identify opportunities to improve clinical effectiveness related to billing processes.

Prints patient invoices, processes payments, and reconciles payments.

Responsible for clinic billing submissions and reconciliation. Liaison for Primary Care Network, Alberta Health Services, and Workers Compensation Board.

Complete the SWS deposits.

Communicates with students regarding payments for uninsured services and fees owing.

Monitors and tracks outstanding payments.
Qualifications / Requirements:

Post-secondary education and/or a minimum of 5 year's experience within a medical clinical setting; combined education and experience may be considered as equivalent.

Over 2 years of comprehensive accounting and billing experience in medical and clinical settings.

More than one year of experience in generating and presenting financial and operational reports.

Subject matter expertise in Alberta Health billing, and 3rd party billing is required.

Subject matter expertise with electronic medical record (EMR) systems such as Accuro, Medeo, Ocean; which includes setting administrative privileges and creating scheduling. Also proven excellence in billing, forms, setting reminders, and other required daily functionalities.

Highly developed organizational and critical thinking skills with the ability to anticipate needs, organize, coordinate and perform work efficiently with minimal direction is required.

Experience in a medical setting and understanding clinic processes and being comfortable around patients presenting who are ill or distressed is necessary.

Excellent working knowledge of Microsoft Office, web-based application is required. Experience working with University of Calgary business systems, such as PeopleSoft, is preferred.

Ability to operate within a complex, multi-faceted clinical work environment and be a strong team player who works well within a multi-disciplinary team is necessary.

Extensive knowledge of medical terminology is an asset.

Demonstrated professionalism, discretion, courtesy, and respect in all interactions with internal and external clients.

Capability to adjust work schedules to meet multiple demands, pressures, and the ability to work with many interruptions, changing work plans, and priorities is required.

Demonstrated ability to provide a consistent high level of service.

Ability to maintain strict confidentiality of all records and sensitive interactions.

Ability to work autonomously, with minimal supervision.
