Compliance & Operations Coordinator

ABOUT THE ROLE
Bell Combustion is a growing industrial service company seeking a sharp, highly trustworthy Compliance & Operations Coordinator. This is a multifaceted role that combines compliance and certification ownership, HR support, service contract administration, customer documentation management, and executive support.
The successful candidate will play a key role in ensuring our employees' certifications and training remain current, our recurring service contracts are effectively managed, customer requirements are met, and critical administrative and operational functions run smoothly. They will possess a high level of integrity, intelligence, and attention to detail.
KEY RESPONSIBILITIES
Compliance & Certification Management
- Track and manage employee certifications, licenses, and training records — including TSSA Gas Technician licenses and customer-specific requirements
- Coordinate renewals and recertifications to ensure zero lapses in compliance
- Maintain employee training matrices and up-to-date compliance records
- Manage customer compliance portals and contractor verification platforms
- Coordinate annual updates to company safety and compliance documentation
HR & People Administration
- Support hiring processes, including coordinating interviews and onboarding documentation
- Handle routine HR administrative matters and maintain employee records
- Review weekly payroll submissions for accuracy and completeness
Contract & Operations Administration
- Manage annual service contracts, renewal schedules, and contract documentation
- Coordinate customer documentation requests and prequalification packages
- Assist with the preparation of quotations, proposals, and supporting materials
- Maintain accurate records within company software systems
Executive & Administrative Support
- Work directly with company owners on special projects, reporting, and follow-up
- Support strategic and operational priorities as assigned
- Help identify and implement process improvements across the organization
QUALIFICATIONS
Required:
- 3-5+ years in administration, specifically in: compliance, operations, contract administration, project coordination or a similar role
- Exceptional organizational and time management skills
- Strong attention to detail and commitment to accuracy
- Ability to manage multiple priorities and deadlines simultaneously
- Excellent written and verbal communication skills
- Ability to work independently while collaborating effectively with internal teams
- Proficiency with Microsoft Office and comfort learning new software systems
Preferred:
- Experience in industrial, mechanical, HVAC, combustion, manufacturing, construction, or field service environments
- Familiarity with compliance tracking, contractor management portals, or safety certification programs
- Experience supporting HR functions
- Familiarity with KMP or similar service management software
WORK ARRANGEMENT
- Primarily remote
- Potential for 1–2 in-office days per week in the future
- Full-time position

Pay: $55,000.00-$70,000.00 per year
