Job Summary
We are seeking a dynamic and highly organized Medical Office Administrator to join our healthcare team. Responsibilities
- Manage patient scheduling, appointment confirmations, and follow-up communications to optimize clinic flow.
- Maintain and update electronic medical records (EMRs) with precision, ensuring compliance with privacy regulations and data accuracy.
- Oversee billing, coding, and insurance claims processing
- Supervise administrative staff
- Coordinate with medical professionals and external vendors to support operational needs.
- Assist with budgeting, supply inventory management, and ensuring the clinic adheres to financial protocols.
- Implement best practices in medical terminology application and documentation standards across all office procedures.
- Perform basic Accounting/Bookkeeping tasks
- Oversee daily billing, payments, deposits, and reconciliation
- Monitor accounts receivable and outstanding balances.
- Ensure the clinic is clean, organized, and fully stocked with supplies
- Foster a positive, collaborative, and patient-focused workplace culture
- Requirements
- Proven experience in a medical or wellness office setting
- Prior supervisory experience managing administrative teams within healthcare environments.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Background in human resources functions such as staff scheduling, onboarding, and compliance management.
- Experience with budgeting, financial record-keeping, and supply chain coordination in healthcare facilities.
- Knowledge of extended health care (Physiotherapy, Chiropractic, Massage Therapy, Naturopathic Medicine) is highly desirable to understand clinical workflows better.
