Role Overview
The Executive Assistant will provide support to our Senior Associate Lawyer as well as the legal team located in our Toronto office. Our Executive Assistant is the main point of contact for communications and will be responsible for actioning administrative tasks (e.g., email, phone, meetings, calendar events and scheduled meetings etc.). The Executive Assistant will perform any other administrative tasks that help the firm's leadership stay organized, efficient, and transparent.
The Executive Assistant will:
- Review, prioritize and action communications, including responding to correspondence and inquiries. Draft internal and external communications.
- Coordinate scheduling for the legal team, and Woodward connections in Victoria, BC.
- Organize meetings, including gathering documents, drafting agendas, taking minutes, maintaining records, and coordinating schedules and logistics for meetings.
- Answer and respond to phone calls, communicate messages, documents, and information.
- Coordinate travel arrangements and itineraries for the legal team in Toronto.
- Maintain action items including prioritizing tasks and keeping calendars current.
- Draft various records and documents (e.g., meeting materials and presentations).
- Provide back-up support to the Legal Assistant located in Toronto and/or Victoria, pertaining to Ontario files.

Qualifications
This ideal candidate for this position meets the following requirements:
- A bachelor's degree in public administration or a related discipline is preferred.
- Experienced (minimum 5 years) administrative professional supporting multiple senior-level lawyers and executives.
- Training in legal services industry, project management, event co-ordination, financial accounting, public relations, or human resources is considered an asset.
- Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, M365).
- Exceptional writing, editing, and proofreading skills.
- Excellent communication skills (written and verbal).
- Experience working with Indigenous nations, communities, businesses, or organizations would be considered an asset.
