Position: Estate Administration Specialist, Full-Time
The Estate Administration Specialist will provide timely and accurate support in all aspects of estate administration to our members, employees, and other key stakeholders. You will effectively administer estate accounts and maintain high standards of service, quality control, and operating efficiency. This position will have a direct impact on the members' financial well-being by helping to settle their estate and protecting their legacies.
What You’ll Do:
- Oversee the administration of estates from initiation to completion, ensuring timely and accurate completion of tasks.
- Collaborate with legal professionals, financial advisors, and other stakeholders to facilitate the smooth transfer of assets and resolution of estate matters.
- Promptly manage communication with members, beneficiaries, and other involved parties, providing updates and addressing inquiries in a professional and empathetic manner.
- Prepare and file necessary legal documents, including probate filings, estate tax returns, and other required documents.
- Conduct thorough reviews of estate documents to identify potential issues and discrepancies.
- Stay informed about changes in relevant laws and regulations to ensure compliance.
- Ensure all account information on internal systems is up-to-date, complete, and accurate.
- Maintain all written, verbal, and electronic communication as required with internal and external contacts as well as with members.
- Investigate all inquiries and administrative errors and refer more complex issues to Senior Management.
- Understand and follow 1st Choice Savings processes and policies as required.
Who You Are:
- CSI’s Estate and Trust Administrator designation and/or related courses.
- Strong knowledge of estate planning laws and regulations.
- Exceptional organizational and multitasking abilities with acute attention to detail, and solid follow-through capabilities.
- Ability to work independently and collaboratively in a team environment.
- Exceptional written and verbal communication skills
- Excellent interpersonal skills and ability to deal with sensitive and difficult member situations in a professional manner.
- Progressive experience in fiduciary account administration, in account management, sales and/or client relationship management role.
- Knowledge of estate processing, taxation or law is a major asset
