What can I expect to do in this role?
Reporting to the Facility Services Manager the Scheduler is responsible for the daily scheduling of large numbers of unionized operational Facility Services staff across multiple scheduling patterns, locations and shifts and collecting and reporting on data, as required; utilizing effectively the computerized scheduling software/ADP Workforce Now) and other computer aided systems.

Responsible for developing the schedule for housekeeping and labour according to the terms of collective agreement using a specialized computerized scheduling and computer aided system

Monitor daily attainment of unionized employees and report to manager

Submit to management biweekly event schedules and tenant maintenance schedules in a timely manner.

Review and audit accuracy of hourly timecards weekly, follow up with payroll, finance, Facility Coordinators and Forepersons on resolving discrepancies and approvals

Optimally schedule jobs in line with the terms of collective and employee’s skills & abilities

Works closely with employees to resolve scheduling accommodations

Responsible for providing reports to department manager and tracking staff attendance and vacations
-
Responsible for submitting employee change forms to activate new hires, rehires, terminations, pay adjustments, transfers, etc.

Input and verify housekeeping & labour are accurate in the ADP Time & Attendance system weekly.

Review and ensure paycodes in the payroll system are accurate

Point of contact with Tenant Coordinator and Tenants to ensure housekeeping requirements are fulfilled

Review and continuously update schedules to satisfy staff changes based on unavailability, no-shows or sick calls

Assist Facility Manager to ensure efficiencies within the master schedule for labour and housekeeping activities

Provide feedback for labour balances in order to assist in the control of the housekeeping and labour budgets

Provide information related to staffing levels to Facility Services Manager for recruiting purposes

Perform other duties as assigned
How do I qualify? -
Certified planner or scheduler with a bachelor’s degree or technical diploma/certification
-
Excellent hands-on understanding of scheduling techniques/methods.

Familiarity with collective agreements, legislation, policies and procedures.

Knowledge and demonstrated ability in corporate core competencies including customer focus, verbal & written communication, collaboration and personal ownership.

Computer literacy in Scheduling Software and MS Office applications, including intermediate proficiency in word processing, spreadsheet, scheduling, Access and the Internet.

Extensive knowledge of payroll software and attendance modules, costing and scheduling modules is an asset
-
Ability to work days, evenings and weekends, including holidays, as required to support operational requirements.

Progressive experience in performing clerical duties.

Experience utilizing software packages (word processing, spreadsheets, electronic mail, purchasing, work order management, Momentus, RPGS, ADP).

Good interpersonal skills with the ability to communicate effectively both verbally and written at all organizational levels.

Proven customer service skills.

A team building mentality with a focus on service.
