Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at Enterprise Square.
This role plays a critical role as the operational subject matter expert for the University’s Time and Labour system, providing advanced functional guidance, system troubleshooting, and transactional oversight, while maintaining the integrity of time, attendance, leave, and absence data. The Time and Labour Administrator offers a an excellent opportunity for someone who is interested in growing their career in payroll, HR operations, systems administration, workforce data, or employee services.

- Reviews, validates, and processes employee time and labour transactions from electronic and paper-based sources.

Completes complex manual calculations for overtime, shift differentials, exception time, vacation, sick leave, retroactive adjustments, and other time-related payments.

Supports accurate application of collective agreement provisions, employment standards requirements, payroll rules, and institutional procedures.

Manages and processes vacation reconciliations of support staff and tracks staff movement (termination/transfers) to ensure correct vacation payouts.

Provide guidance, feedback, and informal training to employees, supervisors, time approvers, and internal users.

Ensures correct enrollment in workgroups and leave plans and manages the Auto-Enroll program.

Runs daily, weekly, and pay period queries to manage, resolve, and modify the status of T&L exceptions and errors.

Oversees workflow administration, manages T&L delegations, and resolves related workflow errors.

Oversees, validates, and resolves issues related to time entry uploads from third-party time management software.

Runs audits and resolves anomalies for all Time and Labor queries, including those related to overtime, hourly rate audits, negative net pay, premiums, and statutory holiday pay.

Investigates and corrects data integrity issues, providing feedback, advice, and training to employees and supervisors on processes and solutions for T&L challenges.

Identifies opportunities, provides recommendations and participates in initiatives to enhance effective use of T&L resources, workflows and functionality of the current system.
Education
-
Completion of HR related post secondary diploma or degree (Accounting or Payroll Administration); Equivalent combination of education and experience may be considered.
Qualifications
-
Related time and labour experience.

Experience working in a university or union environment would be preferable.

Familiarity with PeopleSoft time and labour module.
Experience & Knowledge
-
1-3 years of experience in payroll, timekeeping, or human resources administration, preferably in a high-volume and fast paced environment.

Demonstrated knowledge of time and attendance principles, including overtime calculations, paid time off (PTO) accruals, and regulatory compliance.
-
Proven experience with a large-scale Time Entry System, preferably Peoplesoft HCM (Human Resources, Benefits & Payroll for North America), and how they interface with payroll applications.

Experience in generating, running, and analyzing audit reports and queries to identify and resolve data discrepancies.

Experience using query tools such as Benthic Software (Golden) would be highly beneficial.

Strong attention to detail and a high degree of accuracy when reviewing, calculating, and processing time and labour data.

Strong analytical and problem-solving skills, with the ability to investigate issues, identify root causes, and recommend solutions.

Proficiency with Microsoft Excel for data review, reconciliation, reporting, and analysis.

Prioritizes effectively to manage competing priorities and tight payroll and operational deadlines.

Ability to communicate effectively across all organizational levels.

A client-service and solution focused mindset to help resolve time and labour issues.
