Job Overview
Duties & Responsibilities:
- Support front desk and reception operations during periods of high call volume, staff absences, break coverage, vacation coverage, and other operational needs.
- Act as an administrative floater by providing cross-functional support across departments to ensure continuity of service and efficient day-to-day operations.
- Maintain organized filing systems and ensure timely retrieval of information.
- Organize and support internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Maintain databases and update credentials for Members and Permit Workers.
- Liaise with vendors and contractors as required.
- Create, manage, and maintain trackers for projects, deadlines, schedules, and internal communications.
- Assist with operational coverage and administrative workflow management to support team productivity and service delivery.
- Anticipate needs and proactively identify areas for process improvements and increased efficiency.
- Perform additional administrative, operational, and departmental support duties as assigned.
Skills & Qualifications:
- Completion of Post-secondary degree or certification program in a related field.
- Joint Health and Safety certification Part 1 & Part 2 an asset.
- Minimum of 2 years of verifiable Administrative experience.
- Ability to work in person within our office building Monday to Friday 9:00am to 5:00pm and weekends.
- Advanced proficiency in Microsoft Office Suites, ability to learn and utilize additional software programs.
- Strong analytical and problem-solving skills.
- Ability to perform occasional heavy lifting.
- Deadline-oriented, highly organized and self-motivated.
- Flexible and adaptable approach to changing priorities and task management.
- Ability to effectively present information in a clear and concise manner, with integrity and confidentially when needed.
