Position Overview: The FRC Program and Operations Lead is responsible for supervising and supporting staff, managing programs, ensuring compliance with relevant regulations, and contributing to the overall strategic direction of the organization. This role involves a combination of human resources management, program coordination, financial administration, and management tasks to ensure the efficient and effective operation of the Centre.
Key Responsibilities:
Human Resources:
- Supervise staff in the absence of the Executive Director (ED).
- Facilitate staff meetings and training sessions.
- Manage staff scheduling/coverage for absences, vacations, and time-off requests.
- Oversee staff timesheets and attendance monitoring.
- Recruit, orient, train, and onboard new staff, volunteers, facilitators, and practicum students.
- Ensure compliance with applicable legislation, regulations, and policies for staff and program facilitators.
- Maintain employee files and records for contracted program facilitators.
- Manage employee benefits, conduct staff evaluations, and provide coaching.
Programming:
- Oversee day-to-day operations to coordinate various programs and services offered by the FRC.
- Liaise with stakeholders and community partners.
- Assist ED when required including annual program and service goals.
- Maintain and manage the program calendar.
- Coordinate program evaluations with the ED and assist with funder reports as needed.
- Assist in the planning and implementation of the FRC’s long-term and annual strategic plan.
- Contribute to communications, marketing, and recruitment strategies.
- Assist with event planning and fundraising endeavours.
- Participate in team meetings to coordinate work, resolve operational issues, and ensure harmonious team relations.
- Provide information, reports, updates, and recommendations on programs and activities.
Financial Administration:
- Complete general bookkeeping tasks.
- Assist with program budget tracking.
- Manage and track organizational assets.
Facility and Supply:
- Ensure all building facilities adhere to proper safety standards, licenses and cleaning procedures.
- Organize on-going building and property maintenance.
- Conduct routine inspections and safety drills.
- Manage program supplies.
Other Responsibilities:
- Manage staff and program technology needs in collaboration with contracted IT support
- Ensure the Executive Director is informed of issues and assist with their resolution in the ED’s absence
- Develop and execute a project management strategy to meet organizational objectives
- Create efficiencies in marketing, programming, partnerships, recruiting, and other areas
- Support the team as needed to achieve project goals
- Review and polish communication materials and proposals for messaging, consistency, appropriateness, and quality
- Participate in relevant committees both internally and within the community
Qualifications:
- A bachelor's degree or diploma in a related field.
- 2+ years experience in a leadership role, successfully managing staff, including scheduling, human resources, & mentoring and coaching.
- 2+ years experience in administration and program coordination; Previous non-profit experience is an asset.
- Excellent written and oral communication, organizational skills and project management abilities.
- Ability to work collaboratively with team members and external partners.
- Knowledge of applicable legislation, regulations, and best practices in human resources and program management is an asset.
- Experience in Quickbooks, Excel, Google Suite, Mailchimp, Canva, and Donor Management Software.
- Demonstrated adaptability and flexibility to competing priorities.
Other Requirements:
- Valid driver’s license and use of a reliable and insured vehicle (local travel is required).
- Clear criminal record and vulnerable sector check.
- Current CPR /First Aid Certification or willingness to obtain.

Term: Contract Full Time (One Year with Possible Extension)
Wage: $30.00 - $35.00/hour based on experience
Hours: 34 hours a week during operational hours. One day a week work from home option. Occasional evenings and weekends may be required.
