What You’ll Be Doing

The Capital Markets arm of CIBC provides corporate, government and institutional clients with innovative solutions to help them raise capital, and grow and invest actively throughout North America and key financial centres around the world. To deliver on its vision to be our clients’ preferred capital markets banking partner across multiple products and services, both in Canada and where our core competencies can be exported. The Capital Markets mission is to bring Canadian Capital Markets products to Canada and the rest of the world, and also bring the world to Canada.

  • This is hybrid role to cover Kitchen/Reception duties:
Dress code for this position: uniform, supplied by CIBC
Shifts are 6:30am-3:00pm, 8:00am-4:30pm and 9:00-5:30pm, alternating on a weekly basis
Expected to occasionally work later or earlier (overtime) when client functions are held outside of business hours
In this role, you will project an energetic, polished, professional image to the public and CIBC personnel by providing prompt service and assistance. Perform a kitchen staff operation while maintaining confidentiality of any activities conducted within the client meeting rooms. General administrative clerical support may be included as secondary duties.

How You’ll Succeed

Kitchen Attendant Responsibilities:
Responsible for the setup of 14 external client meeting rooms, as well as servicing internal meeting rooms located on 6 adjacent floors, including:
tidy rooms, replace chairs and placemats in position;
call base building if vacuuming or extensive cleanup required;
ensure any equipment has been removed from prior day;
deliver pre-ordered food and beverages to rooms throughout the day;
brew fresh coffee for each meeting where coffee has been requested;
clean rooms after luncheons and put room back in order for next meeting; and
on occasion, may have to clear the table/refresh the room while client is still present.
Accept catered food orders and confirm that order is correct: unwrap, plate and deliver to client meeting rooms 15 minutes prior to start of meeting.
leftovers from luncheons to be delivered to client upon request (or disposed of).
Refresh 15 coffee stations located on floors 4 through 9 every morning, including:
restock coffee cups, stir sticks, sugar, milk, cream, and napkins; and
refill coffee machines and report any machines that require repair.
Wash dishes, cutlery, glassware and catering platters in dishwasher.
Defrost and sanitize ice machine every two months.
Sanitize kitchen counters nightly.
Clean dishwasher nightly.
Reception assistance when needed.

Receptionist Responsibilities:
Answer telephone calls in a professional manner and provide information and/or redirect the caller to the appropriate department. Take and convey messages either via phone or email.
Act as interface in dealing with customers and CIBC personnel as a receptionist by greet visiting clients and directing them to the appropriate client meeting room. Contact the client’s relationship manager via phone or email to notify them that their guest has arrived.
Manage availability of 14 client meeting rooms with discretion and book requests on Room Reservation System (individual will receive training on this system). Take meeting requirements over the phone from requestor and ensure necessary parties are notified to fulfil meeting requirements i.e. notifying technical support of any audio-visual requirements, booking lunches or refreshments directly with external vendors, make arrangements for unique setups of the larger client rooms.
Candidate must liaise with internal client to determine catering requirements for their meetings and submit orders to the external vendor via email. Tracking orders for payment and reconciliation and preparation of catering schedule for the following week will be required.
Record equipment and refreshment orders on an excel spreadsheet and prepare month-end entries in order to recover costs. Receive invoices from external vendors for food deliveries, confirm accuracy of invoice, prepare the payment voucher and pass on for prompt payment.
Candidate will be required to work early or stay late occasionally when there are client meeting room functions held outside of business hours. Overtime will be paid in these situations.
This position will provide back up to a second reception desk that services the trading floor (coffee breaks, lunch hours, vacation time).
There will be other administrative tasks such as sorting and delivering mail, sending faxes, arranging courier pickup and delivery, filing, photocopying, managing temporary security passes.

Who You Are

Kitchen Attendant Qualifications:
Will be required to obtain their Smart Serve Certificate
Considered an asset: Certified Food Handling Certificate
Interpersonal/communication skills, particularly in the areas of listening and speaking skills and establishing rapport with others.
Experience in balancing time pressures and deadlines and conflicting demands.

Receptionist Qualifications:
Sufficient knowledge of CIBC Capital Markets to direct customers, callers and deliveries.
Familiarity with a desktop computer; basic Word, Excel and Outlook skills. Ability to learn new software applications; at ease on a PC.
Interpersonal/communication skills, particularly in the areas of listening and speaking skills and establishing rapport with others.
Experience in balancing time pressures and deadlines and conflicting demands.
