Seeking an administrative assistant to work with one of Calgary’s largest landlords of suited single-family homes. You’ll have the unique opportunity to shadow and be the apprentice of the founder of a $35+ million-dollar company, who built it from the ground up in just 15 years. We are looking for someone who is great with working with people, who is highly organized and detail-oriented and demonstrates strong execution and follow-through.
Job duties:
- Oversee the back-end administration of operations, including and not limited to ensuring all documentation, filing and processes are complete. Prepare packages such as leases, rental and renewal packages, and all other necessary documents, while ensuring compliance of Residential Tenancy Act.
- Source out suppliers and materials to obtain estimates for repairs/renovations. Coordinate repairs and renovations with contractors and tenants. Use independent judgment to find effective solutions. Ensure that repairs and renovations are completed promptly, properly and within budget.
- Compile and maintain accounting/invoicing procedures such as expenses and incomes
- Manage and schedule the Outlook calendar, inbox, events, tasks and contacts and strategically plan, schedule and track all necessary information for the founder. Ensure that various administrative tasks are done in an effective and efficient manner.
- Prepare documents for filing/submission for city permits, mortgage applications, etc. Follow an organized filing/document management process for electronic and paper documents.
- Conduct research on residential properties for the purpose of purchasing or investing into residential properties/projects.
- Only when needed as backup for Property Manager - Respond to resident inquiries, feedback, complaints and concerns in a timely and professional manner. Negotiate or authorize rental or lease properties on behalf of the company and confirm/ensure/execute that terms of lease agreement are met.

Wage (must include any incremental raises, performance pay or bonuses):
- $2,600 per month for on call time, not more than 40 hours per week.
- Possibility of a 10% commission over monthly rent for any tenants referred by an employee. Possibility of a $500.00 commission for any house referred by an employee that is purchased by the company.
