UnitiWall is seeking a proactive, highly organized Project Coordinator to support the Project Management team in the coordination and administration of project activities.
Reporting to the Senior Project Manager, the Project Coordinator will help maintain project schedules, documentation, action items, meeting follow-ups, and cross-functional communication to support smooth project execution. This role is responsible for keeping project information organized, current, and accessible so Project Managers can effectively manage project delivery.
The Project Coordinator plays a key role in supporting day-to-day project flow by coordinating communication, tracking deliverables, following up on open items, and helping ensure internal teams remain aligned on project priorities, timelines, and responsibilities.

What you’ll be doing
Project Coordination and Administration
- Support Project Managers in coordinating project activities from planning through delivery.
- Maintain project documentation, files, trackers, reports, correspondence, and internal records.
- Assist with organizing project information to ensure documents, schedules, action items, and updates are accurate and accessible.
- Track project progress, open items, and deliverables, and follow up with internal teams as required.
- Coordinate internal project meetings, prepare agendas as needed, and ensure meeting notes and action items are documented and followed up.
- Support communication between Project Managers and cross-functional teams, including design, engineering, manufacturing, procurement, logistics, installation, and finance.
- Help identify missing information, coordination gaps, delays, or action items requiring Project Manager attention.
- Perform other project support duties as assigned.
Scheduling and Delivery Support
- Maintain and update project schedules, timelines, calendars, milestone trackers, and delivery-related information based on direction from the Project Manager.
- Support Project Managers in tracking key project milestones, deliverables, and internal deadlines.
- Assist with schedule updates using Microsoft Project, Excel, SharePoint, and internal systems.
- Track project progress against planned activities and help identify upcoming deadlines, delays, or coordination concerns.
- Maintain location tracking, delivery trackers, installation support trackers, and operational planning documents as required.
- Support communication of schedule updates and changes to internal stakeholders.
- Help ensure project teams have current information needed to support timely project execution.
Documentation and Communication Support
- Prepare, update, and maintain project correspondence, logs, trackers, meeting notes, and routine project reports.
- Support document control activities by organizing and maintaining project-related records.
- Assist with tracking submissions, approvals, change-related documentation, site readiness information, and internal follow-ups.
- Help ensure project information is communicated clearly and consistently across internal teams.
- Follow up with team members on outstanding action items, required updates, and missing documentation.
- Support Project Managers in preparing information for internal project meetings and status updates.
Issue and Action Item Tracking
- Track open project issues, action items, and coordination requirements.
- Follow up with responsible team members to confirm status and completion of assigned items.
- Escalate delays, missing information, or unresolved items to the Project Manager.
- Help maintain visibility of project priorities, upcoming deadlines, and outstanding decisions.
- Support Project Managers by keeping trackers and action logs accurate and up to date.
Process and Continuous Improvement
- Support the implementation of project management best practices, standardized workflows, and internal tracking processes.
- Assist in improving project coordination tools, templates, trackers, and communication methods.
- Contribute to lessons learned and continuous improvement discussions from a coordination and documentation perspective.
- Help support a culture of accountability, collaboration, organization, and continuous improvement.
- Identify practical opportunities to improve internal coordination, communication, and project administration.
Desired Experience & Qualifications:
The ideal candidate will possess the following skills and qualifications, but even if you don't meet all the criteria, we still encourage you to apply!
- 2–5 years of experience in a Project Coordinator, Project Administrator, or junior Project Management support role, preferably in construction, manufacturing, engineering, or a related environment.
- Diploma or degree in Engineering, Construction Management, Project Management, Business Administration, or a related field.
- Strong understanding of project coordination, documentation, scheduling, and follow-up processes.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent communication and coordination skills across multiple teams.
- Strong attention to detail and ability to maintain accurate project records.
- Ability to follow up on action items and support accountability across internal stakeholders.
- Proficiency in Microsoft Office, especially Excel.
- Experience with Microsoft Project, SharePoint, and internal project management systems is preferred.
- Experience with Bluebeam is considered an asset.
- Ability to work collaboratively in a fast-paced, cross-functional environment.
- Strong problem-solving skills and ability to proactively identify coordination gaps or missing information.
