In this position, your role is two-fold. You’ll provide administrative office support and customer service to our Physicians and the Administrative Team and be responsible for reception where you’ll greet and direct patients, answer phones, schedule appointments and answer inquires. Regardless of the task at hand, your main goal is to facilitate the efficient operations of our team and clinic.
Practically speaking, here’s what you’ll be doing day-to-day:
Provide administrative and clerical support to clinic as needed
Triage faxes and referrals
Release of information as per Anova procedures
Prepare, retrieve, update and file patient charts
Provide support to Physicians and the Administrative Team
Conduct inventory status checks and place orders as needed
Ensure that documentation is accessible, accurate, current and filed correctly
Support Clinic by providing quality customer service at front desk
Interact courteously with patients by phone, email and in person
Book, confirm and reschedule appointments for Physicians, using EMR system
Greet patients and visitors and facilitate optimal patient flow through Clinic
Call patients to confirm appointments and provide information
Check OHIP cards to make sure these are valid and information is current
Share important information with coworkers to facilitate patient care
Prepare for appointments day before by pulling all charts for scheduled patients
Register new patients in medical record system and set up patient files

Working @ Anova Fertility
This is a full-time, open ended position, with an hourly wage in the range of $16.00 -$23.00 per hour, commensurate with experience. You’ll work out of our Guelph location Monday to Friday from 7-3 with flexibility to work additional hours as needed. You’ll also potentially be travelling to our Kitchener/Waterloo clinic for coverage, so accessibility to a working vehicle is a must.

College diploma and/or Medical Office Assistant diploma
Experience handling medical reception duties and a multi-line phone system
Experience with electronic medical records systems
Experience taking payments through POS systems and handling cash
Track record of performing variety of clerical tasks with accuracy and speed
Experience in a client facing or customer service role
Accessibility to a working vehicle for travelling purposes
And here’s what would be an asset:
Experience in a fertility clinic or women’s clinic
