The Role
We're looking for a sharp, detail-oriented Engineering Project Coordinator — ideally an EIT or recent civil/environmental engineering graduate — to keep our active projects and growing pipeline running smoothly. You'll own the recurring coordination behind multi-stakeholder infrastructure programs: tracking deliverables and milestones, logging and routing RFIs and change orders, drafting meeting minutes and action logs, coordinating reviewer comment cycles, and supporting proposals and CRM. You'll work from clear instructions and templates, flag what needs the founder's attention, and steadily take on more as trust builds.
This is a coordination and production role with real engineering context — not a design or sign-off role. You make the work organized, accurate, and presentable; the founder (P.Eng.) owns the technical judgment, client relationships, and approvals.
Responsibilities
Project delivery coordination
- Maintain milestone and deliverable registers; track 30/50/90% design milestones and keep schedules current.
- Log, track, and route RFIs and change orders across multiple contracts; chase open items to closure.
- Draft and circulate meeting minutes and action logs for program (PDM/TRM) and contract meetings.
- Coordinate reviewer comment cycles — track Region/Peel reviewer feedback and keep comment registers complete.
- Support field-investigation coordination (geotech, hydrogeology, SUE): maintain borehole progress tables, track deliverables, and help route information requests.
- Help maintain interdependency registers across related projects.
Business development & CRM (HubSpot)
- Keep HubSpot clean and current — update deals and contacts, process the daily outreach task digest, and execute routine touches.
- Maintain target-client / target-municipality lists.
- Produce and assemble proposal packages from templates (CVs, references, representative project sheets, formatting and QA/QC).
Finance & operations support
- Maintain timesheets and time-and-expense records; help with monthly invoicing and AR follow-up.
- Update the engineering backlog / pipeline tool with current project data.
- Maintain standard templates, trackers, and a clean file taxonomy in SharePoint/OneDrive.
Engineering support
- Assist in developing and managing project schedules using Microsoft Project and other construction management software.
- Review and interpret blueprints, schematics, and civil drawings to ensure project accuracy and compliance.
- Coordinate with engineers, contractors, and stakeholders to facilitate smooth project workflows.
- Prepare and update construction estimates utilizing construction estimating techniques.
- Utilize Bluebeam and other digital tools for document review, markup, and collaboration.
- Support project managers in tracking progress, budgets, and resource allocation.
- Monitor project timelines, identify potential delays, and implement corrective actions with effective time management strategies.
- Assist with procurement processes by reviewing schematics and supporting construction management activities.
- Maintain comprehensive documentation of project activities, changes, and communications for audit readiness.
Experience
What We're Looking For
- EIT, or a recent graduate in Civil, Environmental, or Infrastructure Engineering (or an engineering technologist with relevant coordination experience).
- Interest in municipal water/wastewater infrastructure; familiarity with RFIs, deliverable registers, and consulting project workflows is a strong plus.
- Excellent written English and a professional, polished email tone — you'll represent GCG in writing.
- Strong organization and follow-through: you track deadlines and close loops without being chased.
- Strong Excel and Word skills; comfort with Microsoft 365 (Outlook, SharePoint/OneDrive).
- Discretion and reliability — you'll handle client correspondence and confidential business information.
- Able to work with and without SOPs and templates, ask good clarifying questions, and work largely unsupervised.
Nice to Have
- Co-op or work-term experience at an engineering, AEC, or construction firm.
- Exposure to a CRM (HubSpot preferred) and to Canadian / Ontario public-sector procurement (Bids & Tenders, MERX, Biddingo, municipal RFPs).
- Familiarity with field-investigation work (geotechnical, hydrogeology, SUE) and/or condition assessment.
- Basic GIS/CAD redlining or graphics skills.
- Proven experience in construction management or civil engineering projects related to water/wastewater infrastructure.
- Strong proficiency in blueprint reading, schematics interpretation, and civil drawing preparation (AutoCAD/Microstation) and review.
- Familiarity with construction estimating.
- Experience with scheduling and project planning.
- Hands-on knowledge of Bluebeam for digital document management.
- Demonstrated ability in project management within the construction or civil engineering sectors.
- Excellent time management skills with the ability to prioritize multiple tasks effectively.
- Knowledge of construction safety standards and regulations related to water/wastewater projects is a plus. Engagement Details
- Arrangement: Part-time employee, hourly. Available during business hours (9am to 5pm).
- Hours: ~20–22 hours/week to start, with room to grow as the firm does.
- Location: Remote-first, based in the Greater Toronto Area. Occasional in-person coordination or meetings may be requested; some overlap with Eastern Time business hours expected.
- Pay: Hourly, based on experience. Anticipated hiring range: $25-40/hour.
