- Maintain Executive Director and Council calendars, meeting schedules, and deadlines.
- Prepare briefing materials, background documents, and executive summaries as
requested.
Administrative & Office Coordination (Executive-Focused)
- Review, format, and proofread correspondence, reports, and documents prepared for
Executive or Council signature.
- Manage priority correspondence and ensure timely responses on behalf of the
Executive Director when appropriate.
- Coordinate executive travel arrangements, itineraries, and accommodations.
- Maintain confidential filing systems for Executive and Council records (electronic and
paper).
- Liaise professionally with internal departments, government agencies, consultants, and
community members on behalf of leadership.
Communications & Public-Facing Support
- Support the Executive Director with internal and external communications, including
notices, announcements, and updates.
- Assist with preparation and coordination of Nation communications such as newsletters,
reports, and public notices.
- Maintain and update the Nation’s website and social media platforms as directed.
- Support branding consistency across Executive and administrative documents.
- Coordinate logistics for virtual meetings, community sessions, and digital
communications as required.
Additional Responsibilities
- Conduct research and compile information to support Executive decision-making.
- Coordinate office services related to Executive operations (supplies, equipment,
security access).
- Perform other related duties as assigned by the Executive Director.
Requirements
Education and Experience
- Post-secondary diploma in Business Administration, Office Administration,
Communications, or a related discipline.
- Completion of Grade 12.
- Minimum 5–7 years of experience in an Executive Assistant, senior administrative, or
governance-support role preferred.
