Admissions, Privacy and Records Management Officer

Permanent Full-time, Non-union position

Salary Range: $61,108 – $69,440

Reporting to the Superintendent of Business, this position will be responsible for the application of the Board’s admissions; registration application process and management of admissions files and decisions, school attendance boundaries, Catholic tax support, and school board elections consistent with the Board’s policies and procedures in accordance with the Education Act, Assessment Act, Municipal Elections Act, Immigration and Refugee Protection Act, and Municipal Freedom of Information and Protection of Privacy Act.

Responsible for the efficient and effective management of the Board’s Records Information Management program for the collection, retention and disposal of the records lifecycle ensuring confidentiality within information systems. Manage and respond to all access and privacy requests and appeals to issue decisions as the FOI Co-Ordinator. Manage the Board’s privacy awareness and training program to ensure that employees understand the privacy and records management requirements within the system and to ensure the Board’s legal responsibilities and obligations in accordance with the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA), Education Act and related policies, procedures and regulations.

Qualifications and Skills required:
Degree or diploma in Records and Information Management, school board administration, business or related field.
5 years relevant experience in education and/or business administration, municipal tax assessment or planning,
Exceptional written and verbal communication skills for report writing, issuing decisions, making presentations and training.
Experience dealing with customers and difficult conversations
Knowledge of the Education Act, Assessment Act, MFIPPA, Immigration and Citizenship regulations, Ontario Student Record guidelines and education rules of the register an asset
Strong organization skills and demonstrated experience in managing and analyzing large data sets from various information sources (i.e. student information systems, MPAC, Statistics Canada, GeoSchool).
Strong computer and database management skills working with Access, spreadsheets, maps and GIS mapping technology.
Ability to work under pressure, manage multiple priorities and high volumes of paperwork, and respond to requests in a timely manner.
Able to lift and carry boxes (30-50 lbs.); climb a ladder to move and manage records.
