About the Opportunity:
The Receptionist serves as the first point of contact between IPH and our customers and is key in ensuring the smooth day-to-day operation of the front office. It plays an important part in delivering excellent customer service, managing communications, handling transactions and supporting administrative and basic accounting functions, all of which contribute to an organized, efficient and professional workplace. You will also contribute to continuous improvement initiatives, helping IPH innovate and evolve as an industry leader and employer of choice.
What You Will Do:
- Answer and direct incoming phone calls in a professional manner.
- Greet and assist walk-in customers, providing excellent customer service.
- Process counter sales, including preparing receipts for parts and filters.
- Handle point-of-sale (POS) transactions and various payment methods.
- Perform accounts payable (AP) and accounts receivable (AR) data entry.
- Process customer payments (cash, cheque, EFT, e-transfer, and online).
- Organize purchase orders and maintain accurate financial records.
- Coordinate shipping and receiving activities.
- Order and manage office supplies inventory.
- Maintain office organization, including mail handling, petty cash and upkeep of common areas (lunchroom and boardroom).
- Performs other related duties, consistent with the role, skills and level of responsibility as required.
About You:
- High school diploma or equivalent; additional administrative training is an asset.
- Minimum 1 year of receptionist or administrative experience (construction or trades industry preferred).
- Friendly, positive attitude with a customer-focused approach
- Proficient with POS and office software, with openness to learning, sharing knowledge and improving digital practices; experience using scheduling or dispatch software, such as ServiceTitan, is considered an asset.
- Excellent verbal communication and customer service skills.
- Adaptable and highly organized, with attention to detail and a commitment to accuracy.
