Position Summary
This role serves as a key link between internal teams, suppliers, manufacturing partners, and logistics providers to ensure projects, orders, and production timelines remain on track. The Operations Coordinator will support product development projects by maintaining accurate reporting, coordinating documentation, tracking orders, facilitating supplier communication, and assisting with day-to-day operational activities. This position is ideal for someone interested in manufacturing, sourcing, supply chain operations, and product development within a fast-paced retail environment.
Key Responsibilities
Project & Production Coordination
- Track projects and orders from intake through production and delivery.
- Maintain project timelines, production trackers, shipment reports, and status updates.
- Coordinate deliverables between sales, design, sourcing, operations, suppliers, and manufacturing partners.
- Liaise with suppliers, factories, and logistics providers to monitor order status and resolve issues.
- Coordinate product assets, specifications, and production documentation.
- Support supplier reviews, quality checks, and production approvals.
- Monitor project milestones and follow up on outstanding tasks to ensure deadlines are met.
Operations & Administrative Support
- Prepare and maintain purchase orders, quotations, production records, and related documentation.
- Organize and maintain project files, supplier records, and operational documentation.
- Assist with sample management and shipment coordination.
- Support daily office operations and general administrative activities.
- Contribute to process improvements and operational reporting.
What You'll Bring:
- Fluency in Cantonese and/or Mandarin to support communication with Asia-based teams.
- Interest in manufacturing, sourcing, and supply chain, with willingness to learn.
- Organized, detail-oriented, reliable, and strong follow-through.
- Proficiency with Microsoft Excel and comfort creating simple order trackers and
- status dashboards.
- Excellent attention to detail and organizational skills.
- Ability to manage multiple projects in a fast-paced environment.
- A proactive, hands-on approach and willingness to learn.
- Strong collaboration and communication skills.
- High school diploma required; post-secondary education in business, operations, supply chain, or a related field is an asset.
Nice to Have:
- Experience working in packaging, consumer products, retail, fashion, or manufacturing environments.
- Familiarity with ERP systems, purchase order processes, invoicing, and order tracking.
- Basic knowledge of Adobe Illustrator or Photoshop for reviewing visuals
- Experience coordinating international suppliers, production schedules, or logistics operations.
- Familiarity with AI-assisted design tools and workflows.
Location & Hours
- Full-time, in-office role based in Vancouver, BC, occasional alignment to Asia/China time zones.
- Typical office hours with some overlap into Asia evenings for scheduled
- meetings.
- Generally five days in the office, with flexibility for fixed recurring meetings.
Compensation
CAD $50,000–$60,000, depending on experience and qualifications. Final compensation will reflect level of experience and scope of responsibility.
