Summary
We are seeking a dedicated Parts and Service Advisor to join our team. Based in our Fort McMurray service and repair facility, this role is vital in ensuring efficient parts management. The role of the Parts and Service Advisor is to ensure the controlled purchasing, tracking, inventorying and billing of all parts, supplies, equipment, tools and consumables required to operate the Shop on a day-to-day basis. In this role you will be a vital member of our service team responsible for parts management and assisiting with the coordination and scheduling of work in the service department.
Responsibilities
- Manage daily parts inventory and procurement processes to ensure timely availability of parts.
- Coordinate with suppliers and vendors to source quality parts at competitive prices.
- Collaborate with the service team to schedule repairs and parts delivery.
- Ensure Company purchasing workflow is implemented and adhered to at all times.
- Evaluate cost, quality and availability of supplies and parts from vendors, ensuring best price and product.
- Coordinate parts procurement and availability for scheduled work.
- Review repair orders for required parts and materials.
- Work with vendors to source parts and expedite urgent orders.
- Verify parts accuracy and completeness before repairs begin.
- Monitor inventory levels and identify stock requirements.
- Assist with inventory counts and inventory control processes.
- Ensure warranty and return parts are properly handled and documented.
- Maintain awareness of all active work orders.
- Understand, implement and enforce the company’s HSE policies, goals, objectives and procedures
- Participate in hazard assessments and safety meetings.
- Monitor shop compliance with safety requirements.
- Report hazards, incidents, equipment deficiencies, and unsafe conditions.
- Lead by example in the use of PPE and safe work practices.
- Support compliance with customer, regulatory, and company requirements.
- Work with the technicians to ensure accurate parts requisitions are provided.
- Work with vendors and suppliers regarding parts, warranties, and technical support.
- Ensure compliance with safety standards and company policies during all operations.
Qualifications
- High school diploma or equivalent.
- 5+ years of experience in automotive, heavy-duty or industrial parts sales or procurement.
- Experience with inventory control and purchasing.
- Parts Technician certification or Red Seal endorsement is an asset but not mandatory.
- Strong understanding of automotive and heavy-duty truck components and systems.
- Ability to interpret parts catalogs, service manuals, and diagrams.
- Familiarity with electronic parts catalogues (EPC), manufacturer databases, and aftermarket catalogues.
- Knowledge of OEM and aftermarket suppliers.
- Experience using shop management software and inventory systems.
- Proficiency with Microsoft Office (Outlook, Excel, Word).
- Professional communication with customers, technicians, and suppliers.
- Ability to identify customer needs and recommend the correct parts.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent attention to detail.
- Strong inventory management and stock control practices.
- Ability to prioritize urgent repair orders.
- Accurate receiving, stocking, and cycle counting.
- Positive attitude and team player.
- Reliable and dependable, self-motivated with strong work ethic.
- Ability to work independently with minimal supervision.
- Commitment to safety and continuous learning.
Additional Requirements
- Valid Class 5 driver's licence with an acceptable driving abstract.
- Ability to lift up to 50 lbs.
- Strong mechanical aptitude and understanding of heavy-duty equipment, trucks, trailers, or fleet maintenance.
- Timely decision making and an overall sense of urgency to meet customer demands.
