Job Title: Administrative Secretary Location: Sewer & Watermain Construction Industry Position Summary:
We are seeking a reliable and organized Administrative Secretary to support daily office operations in our sewer and watermain construction business. The ideal candidate will be comfortable working in a fast-paced environment and have experience handling administrative tasks, customer communication, and basic bookkeeping duties.
Key Responsibilities:
- Answer and direct incoming phone calls in a professional manner
- Respond to emails, inquiries, and general office correspondence
- Prepare, edit, and format documents using Microsoft Word
- Create and manage spreadsheets using Microsoft Excel
- Handle digital documents including scanning, organizing, and working with PDF files
- Perform data entry and maintain accurate records
- Assist with invoicing, billing, and basic accounting tasks using QuickBooks
- Support scheduling, job tracking, and coordination with field staff
- Maintain organized filing systems (digital and physical)
- Provide general administrative support to management and project teams
Required Skills & Qualifications:
- Previous administrative or secretarial experience (construction industry experience is an asset)
- Proficiency in Microsoft Word, Excel, and PDF management tools
- Experience using QuickBooks (required)
- Strong communication and phone etiquette skills
- Highly organized with strong attention to detail
- Ability to multitask and work independently
- Comfortable working in a construction/industrial office environment
Preferred Qualifications:
- Experience in construction, sewer, watermain, or related trades industry
- Knowledge of invoicing, purchase orders, and job costing
- Familiarity with scheduling or project coordination
