Property Coordinator – Commercial Real Estate
Location: Dorval, Québec
Employment: Full-time, permanent
Compensation: $60,000–$65,000 CAD + bonus
Schedule: In office 2 days a week after onboarding
Travel: Local property visits locally once per week
Position Overview
An established real estate investment and property-management organization is seeking a Property Coordinator to support a portfolio of commercial and industrial properties in the Montréal area.
This position combines property administration, tenant service, vendor coordination, financial support, and onsite operational follow-up. The Property Coordinator will work closely with Property Managers to ensure service requests, contracts, invoices, inspections, insurance records, and property documentation are handled accurately and on time.

Responsibilities
- Coordinate tenant service requests and follow through with vendors and Property Managers until resolution.
- Prepare and track service contracts, construction agreements, purchase orders, and vendor documentation.
- Support RFPs and vendor-selection processes for property services and projects.
- Review and code invoices and help resolve accounts-payable issues.
- Prepare and track utility billbacks and coordinate utility-account transfers.
- Maintain tenant, vendor, building, parking, and emergency-contact records.
- Track certificates of insurance, equipment inspections, certifications, and other compliance documentation.
- Maintain contracts, bids, approvals, construction files, insurance records, and property-management documentation.
- Support tenant improvements, capital projects, acquisitions, dispositions, and tenant move-ins and move-outs.
- Record property inspections and follow up on identified issues.
- Assist with operating budgets, variance analysis, and property reports.
- Administer service tickets and work orders through the property-management system.
- Build strong working relationships with tenants, contractors, vendors, and internal property teams.
- Visit local properties approximately once or twice per week.
- Support emergency-response planning, departmental procedures, and other property-management initiatives.
- Provide occasional office or reception coverage when needed.
Qualifications
- At least one to two years of commercial or industrial property-management support experience.
- Candidates from residential property management may be considered with approximately four or more years of directly relevant experience.
- Strong spoken and written French.
- Functional professional English for communication with internal and external stakeholders.
- Experience supporting tenants, vendors, work orders, contracts, invoices, inspections, or property records.
- Strong organizational skills and the ability to follow up independently across multiple priorities.
- Comfort working with invoices, budgets, utility charges, and numerical information.
- Proficiency with Microsoft Office.
- Valid driver’s licence, reliable vehicle, and ability to visit properties throughout the Montréal airport area.
- College diploma, relevant coursework, or an equivalent combination of education and experience.
Preferred Experience
- Commercial or industrial real estate experience.
- Experience with Yardi, Yardi Elevate, or a comparable property-management platform.
- Familiarity with purchase orders, vendor contracts, invoice coding, utility billbacks, and certificates of insurance.
- Exposure to capital projects, tenant improvements, and tenant move-ins or move-outs.
- Experience supporting multiple properties or tenants.
Pay: $60,000.00-$70,000.00 per year
